What You Will Do:

The supply chain health system project coordinator is responsible for the traditional supply chain analyst duties (see Supply Chain Analyst job description for additional detail) including management and procurement of supplies and equipment for the Medical Center and is also responsible for coordinating health system supply chain projects across other business units including, but not limited to Firelands Physician Group (FPG)/North Coast Professional Company (NCPC), the North Coast Healthcare Collaborative (NCHC), Behavioral Health, Dialysis, Corporate Health and other outpatient areas. Coordinating and leading the health system’s value analysis committees and providing key oversight for GPO and other purchasing contracts is also an essential task for this position. The project coordinator will combine clinical knowledge with sound business principles to provide a cost-effective and high-quality delivery system for medical supplies and equipment. The project coordinator will assist the Director of Supply Chain and be a key liaison between NCHC administration and the health system on various projects and initiatives.

  • Performs traditional supply chain analyst duties as assigned.
  • Responsible for gathering and formatting data for the Supply Chain dashboards on a monthly basis.
  • Serves as Value Analysis Coordinator for the Health System.
  • Acts as the Medical Center representative with group purchasing organizations (GPO) in which the Health System holds membership and communicates activity to Supply Chain Director. Coordinates contracting efforts for supplies, equipment, and service and also exhibits proficiency with group purchasing organization website tools and other analytics.
  • Analyzes, negotiates, and works in conjunction with department directors to secure both local and group purchasing organizations contracts.
  • Obtains bids and quotes for supplies/equipment and projects in conjunction with the department directors. Uses purchasing benchmarking tools to enhance negotiation and achieve best pricing.
  • Works in conjunction with other Supply Chain Analysts to complete projects for VA, NCHC, FPG/NCPC and GPO. May need to assign projects or portions of projects to be completed by the Supply Chain Analysts as appropriate.
  • Responsible for selection of optimal suppliers considering quality of service and cost to Firelands.
  • Maintains proper control of all Medical Center assets within area of accountability.

Works with FPG/NCPC in the following areas:

  • Seeks opportunities to lower the group’s supply expenses and reports opportunities to Supply Chain Director and FPG/NCPC Leadership.
  • Works to select optimal suppliers considering quality of service and cost.
  • Ensures optimal participation in GPO agreements to maximize price savings, rebates, group redistribution and commitments.
  • Manages the reconciliation process for invoices with Accounts Payable when price and quantities do not align with the contract.
  • Obtains and reviews bids from vendors, and makes recommendations to the Supply Chain Director and FPG/NCPC Leadership.
  • Assists with quoting and acquiring capital items

Capital Responsibilities:

  • Oversees the negotiations of capital projects.
  • Monitors and maintains the capital equipment and project log and serves as a member on the Capital Committee.
  • Coordinates sale and/or disposition of medical center equipment by obtaining bids and quotes in conjunction with the Department Directors of the end using department.
  • Assists in the preparation of the annual capital budget.
  • Tags asset items and maintains the log with Accounting.

What You Will Need:

  • Bachelor’s Degree in Supply Chain or Logistics and 5 or more years of purchasing or related experience in the healthcare setting.
  • Interpersonal: Development and maintenance of effective relationship with medical and administrative staff, patients and the public. Ability to communicate effectively in writing and verbally. Skill in preparation of reports. Ability to remain calm and poised in urgent situations.
  • Critical Thinking: Assists in planning (strategic and short-term) and organizing. Skill in exercising initiative, judgment, problem solving, and decision making. Skill in analysis and interpretation of data, and preparation of reports. Skill in analyzing operational problems accurately and taking effective action. Ability to integrate priorities and deadlines.
  • Knowledge: Organization policies, procedures, systems and objectives. Office management techniques and practices. Research methods and procedures sufficient to compile data and prepare reports. Grammar, spelling and punctuation. Accounts payable and purchasing practices. Computer systems, programs and applications.
