  • Flexibility required cover hospital hours as needed- 7a-3:30 pm or 3pm-11:30 pm Monday-Sunday
Job Description
The Switchboard Operator is responsible for managing the Alexandria Clinic telephone switchboard system. The position receives incoming calls and routes caller to the various departments and employees as requested. The Operator has to respond to emergency alerts and routes information to the appropriate parties. This position will also be trained to cross train for the Alomere Hospital switchboard.

Essential Responsibilities
The following description of responsibilities to be performed is not intended to be all-inclusive. Rather, it focuses on the major tasks that must be accomplished.

Communication
  • Responsible for handling incoming calls to the clinic in a friendly and professional manner
    • Directs calls to appropriate areas/people
    • Responds in a timely manner
    • Takes messages and distributes them
    • Overhead paging when needed
    • Keeps up to date on all codes/tornado procedure
    • Manages the voice mail in baskets for Appts,Health Care Home and switchboard.
    • Creates telephone messages in EPIC for nursing as needed
  • Answer general questions from callers and the public according to Alomere Health policy
Clerical
  • Update, and distribute (when necessary) the daily On-Call Schedule
  • Maintain appropriate department supplies
  • Sort mail on a daily basis
  • Stamps checks & returns to Alomere Accounting Manager
  • Distributes Inner Office mail from courier
  • Maintains mail machine
    • Adds funds as need and communicate to the Finance Director.
    • Order supplies/reorder ink
    • Clean brushes/machine weekly, fill water tank
    • Call mail company when servicing needed

Post Office

  • Call to order letter trays when needed
  • Messages if pickup statements & certified receipts are needed.
  • Makes $23 pickup statement daily – brought up with mail to the front desk
  • Assist Patient Access
  • Provides back up with Inputting and verify Verbal ROI
  • Assist with WCE letters and questionnaires
  • Assist with Medicare Wellness letters and brochures- fold and stuff envelopes
  • Keep records of mail for Lake Region Eye and sends to Operations Manager
  • Manages incoming faxes to ensure delivery to the correct depts.
Other Responsibilities
  • Perform all other related duties as assigned in a professional and responsive manner
  • Demonstrate the ability to use relevant equipment
  • Support, understand, and promote Alomere Health’s mission, vision, values, policies and procedures
  • Ability to meet the work schedule requirements with flexibility dependent upon the needs of the department

Required Qualifications
  • High school graduate or equivalent
Preferred Qualifications
  • Prior Switchboard Experience
Knowledge, Skills and Abilities
  • Ability to answer the telephone in a professional manner
  • Strong keyboarding skills
  • Knowledge of policies and page weather-related warnings and watches
  • Proficient in Microsoft Office with general computer knowledge
  • Ability to learn new procedures and protocols while incorporating them into current workflows
  • Ability to remain professional, calm, and maintain a caring composure when faced with difficult or stressful situations
  • Willingly accept work assignments and changes in daily routine
