ServiceMaster CDR is seeking a full-time Accounts Receivable Specialist to join our energetic and dynamic team in Magnolia, TX. This position is a pivotal role performing the Accounts Receivable duties under the direction of the Finance Controller. This position is responsible for generating revenue by ensuring customers are adequately invoiced, payments are collected timely, and resolving account discrepancies.


JOB RESPONSIBILITIES

  • Prepare, verify, and process invoices for sales rendered
  • Manage all collection efforts and associated functions including sending invoice reminders and communication with customers via phone, email, fax or mail
  • Post customer payments by recording cash, checks, and credit card transactions and entering them into the general ledger or accounting software
  • Prepare cash and check payments for bank; totaling and recording the deposit amounts, filling out deposit slips and bundling the funds and slips; making deposits at the bank
  • Maintains frequent contact with internal and external customers in order to address all payments, disputes and other issues are resolved
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted
  • Verify the validity of account discrepancies by obtaining and investigating information from sales, project managers, estimators and customers
  • Resolve valid or authorized deductions by entering adjusting entries
  • Work with insurance and mortgage companies for requesting deposits and collecting final payments
  • Send demand for payment letters, file liens and notices with appropriate counties and property owners
  • Recognize and recommend further collection steps needed
  • Continuous evaluation of current accounting practices and recommendations for process improvements
  • Attending collection meetings, preparing reports as needed
  • Other duties as assigned

EXPERIENCE / SKILLS / EDUCATION

  • High School diploma or GED from an accredited institution
  • Associate's Degree or some college coursework in Accounting preferred
  • Minimum 2-3 years of experience with Accounts Receivables, Collections, and Invoicing required
  • Knowledge of GAAP and basic accounting principles required
  • Prior accounting experience in construction industry, insurance company or similar a plus

  • Prior experience in QuickBooks or similar accounting software required
  • Advanced proficiency in the use of computers and computer software, specifically Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint
  • Experience with Xactimate software and Restore 365 a plus

  • Strong negotiation skills - wins by creating advocates, not enemies, when negotiating
  • Excellent communication and interpersonal skills, both verbal and written
  • Employee must be self-motivated, and work independently with little direction
  • Excellent time management skills, ability to multi-task and stay calm under pressure
  • Must have ability to handle multiple job responsibilities and open to taking on new responsibilities based on the company’s needs
  • Unquestionable integrity, confidentiality, and ability to work in a family-friendly environment

PHYSICAL DEMANDS / WORKING CONDITIONS

  • Sitting for long periods of time while using office equipment such as computers, phones, copiers, etc.
  • Fingering and Repetitive motions, such as movement of wrists, hands and fingers while picking, pinching and typing in normal working environment
  • Express or exchange ideas with others quickly, accurately, and receive and act on detailed information
  • Close visual acuity to perform detail-oriented activities at distances close to the eyes, such as preparing and analyzing data, viewing computer screen and expansive reading
  • Move up to 20 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects
