Administrative Assistant/Medical Clinic

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent (copy required upon initial hire date)
  • Knowledge of various computer software packages
  • Valid NYS Drivers License (copy required upon initial hire date)
  • Yearly Physical (required within 1 month of initial hire date)

PREFERRED QUALIFICATIONS:

  • A.A.S. Degree in Related Field
  • Previous clerical experience

HOURS:

  • Monday through Friday, 8:00 AM – 5:00 PM

OBJECTIVES OF POSITION:

  • Provide Administrative support for the Medical Clinic.

DUTIES AND RESPONSIBILITIES:

A. Medical Office

  • Maintain professional attitude at all times when dealing with residents, staff and physicians, consulting medical offices, area hospitals, parents and other professionals involved in the medical care of the residents.
  • Prepare and proofread for mailing various letters for consent, medical reports and related correspondence directed by the supervising nurse and physicians.
  • Answer all telephone calls for the Medical Clinic, take messages or communicate information as appropriate to the nature of the call. Contact medical staff by phone if necessary.
  • Maintain updated current resident data lists, dental lists and Special Needs List.
  • Maintain an organized filing system.
  • Sort mail and deliver out-going mail to the Executive Office Building.
  • Schedule medical, dental and vision appointments as directed by medical staff, to include notifying Residential Services. Coordinate medical,dental and vision trips, including reviewing other travel plans to check for potential scheduling conflicts with Residential Services and/or school off campus travel. Enters appointments in Welligent.
  • Generate list of residents for dental work/cleaning and coordinate with American Mobile Dental weekly.
  • Assist medical staff with resident travel medication plans, as directed by clinic staff. Coordinate with appropriate cottage directors and managers.
  • Responsible for ordering and maintaining all office supplies and equipment necessary for the daily operation of clinic function. Make sure all equipment is functioning and that work orders for repairs are proceessed efficiently.
  • Create charts for new residents upon admission.
  • Maintain list of agency employee physicals and contact appropriate supervisors monthly with list of employees needing a physical.
  • Justice Center inquires. Responds to requests and uploads all necessary information from medical chart.
  • Monthly IEP’s for school. Enters medical information into IEPDIRECT for each child on list.
  • Responsible for maintaining a Day School log of current students that includes face sheets, consents and other pertinent data sheets.
  • Weekly Labs – Enters the lab work requests into the ELAB system. Escorts the CMC Lab technitions to cottages on Thursday mornings to do blood draws.
  • Medical Record Requests: Reviews requests for accuracy, sends records according to HIPPA policies and protocals.
  • Provides back up to the Medical Office Assistant position.
  • Light sewing (buttons, hems, small holes).

B. Miscellaneous

  • Follow office protocol as set forth by the Medical Clinic Administrator.
  • Perform other miscellaneous duties as assigned by the Medical Clinic Administrator.
  • Responsible for adhering to and performing all duties in accordance with every safety standard, practice and policy of The William George Agency. This includes, but is not limited to, review of The William George Agency Safety Policy and attending all required safety related training.
  • Adhere to all rules, regulations, policies and philosophy of The William George Agency and the Office of Children and Family Services.
