Job Title: Assistant Property Manager - focusing on Leasing/Resident Relations

Department: Management

Division: KMB Management

Salary Range: $40,000-$50,000

Reports To: VP of Business Operations

FLSA Status: Full Time/Permanent – Exempt

· Summary

The Assistant Property Manager will have a direct focus on the leasing and Resident side of the business. Assist with overall rental property management operations. This includes but not limited to leasing, resident relations, property upkeep, as well as accounting, and property maintenance as needed. Tenant performance, employee and department supervision. Work shall be performed such that the highest net operating incomes are achieved, deferred maintenance is avoided, current market conditions are known, and owner objectives achieved.

· Essential Duties and Responsibilities

a. Primary Duties

· Execute lease agreements.

· Work with Leasing Agents and Maintenance Coordinator day-to-day management functions.

· Review and assist with escalated tenant complaints and inquiries. (Escalated is defined as any issue that is $500 or more, or legal ramifications).

· Accountable for timely delinquency and lease violations.

· Oversite of application process.

· Oversite of implementation and evaluation of marketing of properties.

· Prepare required reports and communication to property owners as directed by KMB process, including but not limited to:

· Monthly delinquency and lease violation updates to owners.

· Monthly leasing status updates discussing occupancy rates, showing statistics, showing feedback, and marketing strategies.

· Overall communication with property owners on their leasing status.

· Work with the other Assistant/Property Managers on overall management needs.

b. Secondary Duties

· Overall communication with property owners on their property condition/status.

· Monthly owner report review.

· Oversee maintenance of each property through regular meetings with maintenance staff, physical inspection, and regular audits.

· Capture all property statistics prior to official onboarding.

· Prepare property budgets, as requested by owner.

· Security Deposits Review

· Move out inspections completed in a timely manner

· Review and approval of charges and refunds

· Appropriate GL’s used

· Includes all maintenance.

· 3 Day Posting and WO review

· Address employee questions at daily morning meeting.

· Assist in leasing and showing apartments when necessary.

· Hold team accountable that tenant files and information are recorded properly and accessible to staff.

· Inherent to this position is the general oversite of specific location and ensure all KMB policies are followed.

· Assist HR with performance reviews of Leasing Manager and Maintenance Coordinator

· Document employee performance concerns and consult with HR for disciplinary actions and performance plans.

· Be familiar with employee handbook and able to point employees in directions of available resources or appropriate staff members.

· Functional Guidance, Authority and Decision Making

a. Supervisory Controls

Reports directly to the Director of Operations and Human Resources regarding KMB Management business and employee issues. Much of this workload is self-driven based on the needs of the company.

· Qualifications

a. Education and/or Experience

· High School diploma or GED

· 2 years property management experience in the role of Property Manager or Assistant Property Manager.

· Demonstrated strong leadership, communication, customer focus, and relationship building skills.

· Knowledge of Fair Housing Laws and the Iowa Uniform Residential Landlord Tenant Act

· Experience with Forcible Entry and Detainer and Filing procedure in Iowa.

b. Language Skills

· Communicate professionally and effectively with clients, staff, and residents.

· Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

· Ability to read, analyze and interpret leases, notices, general technical procedures, and government regulations.

· Bilingual helpful but not required.

c. Mathematical Skills

· Ability to calculate figures and amounts such as discounts, prorates and percentages.

· Ability to read and understand resident account ledgers.

· Ability to read and understand general ledgers and financial statements.

d. Reasoning Ability

· This position requires an individual to be extremely organized, have a keen attention to detail and the flexibility to work with different aspects of a business.

· Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

· Ability to learn and use computer software including but not limited to Microsoft Word, Excel, and Outlook and Property Management Software as necessary.

· Tools, Vehicles and Machines

A current and unencumbered driver’s license and licensed and insured vehicle is required for this position. The vehicle must always be maintained in a neat, clean, and good operating condition.

· Certificates, Licenses, and Registrations

A Real Estate Salesperson License is required and should be obtained within 6 months of hire date.
