Associate Project Manager

Creative Systems Lighting (CSL), our commercial lighting brand is seeking a friendly and upbeat Project Manager to join our team! We are a bi-coastal company headquartered in Wappingers Falls, NY and City of Industry, CA. CSL is part of the Hudson Valley Lighting Group, a larger entity, which includes commercial and decorative lighting. The setting is quick-paced and requires strong multitasking skills. You must have terrific communication and computer skills, be enthusiastic and possess a positive attitude. The ideal candidate is someone who enjoys dealing with people at all levels, is not afraid to “take the ball and run with it” and can successfully perform with limited guidance.

What you’ll do:

  • Cultivate relationships with current and prospective clients.
  • Provide end to end solutions for customer issues through the entire purchase lifecycle including the pre-purchase/quotation state, ordering, tracking, shipment, delivery, billing issues, returns, refunds, etc.
  • Build strong relationships and deliver high quality customer service through phone and email, constantly striving to make things better, faster, and smoother for the customers.
  • Communicate with customers in a thoughtful, thorough, and personalized way.
  • Ability to trouble shoot with customers and the ability to ask the proper questions to solve their problem.
  • Possess strong empathy and active listening skills.
  • Approach each customer interaction with a design-oriented sales mindset.
  • Ability to “meet the customer where they are” and offer up creative ways to solve issues.
  • Take a service and solution-oriented approach to all interactions, using strong judgment to balance being policy-driven with making it right for the customer.
  • Be knowledgeable of technical solutions to problems and communicate responses back to customers and reps in a clear and succinct way.
  • Problem solves by interfacing with Internal departments (Purchasing, Manufacturing, Marketing, and Sales)

Day to day responsibilities include but are not limited to the following:

  • Quote projects
  • Enter detailed quotations into SAP after review by Project Manager
  • Enter project registrations into log for tracking purposes
  • Maintain registration/quotation log details and use log to determine correct rep(s) for project
  • Follow up regularly on status of quotations
  • Closing out quote if applicable and update with close out remarks
  • Have ability to ask the proper questions so we don’t lose business
  • Problem solve with customers to keep job within CSL
  • Enter orders
  • Request freight charges so they can properly be applied to orders
  • Receive and process orders in SAP
  • Allocate orders so stock isn’t lost and communicate project needs effectively with the factory
  • Send proforma invoices if necessary
  • Order Management
  • Follow up on collecting money for proforma orders
  • Manage backorders/shortages
  • Keep customer informed of changes to dates, suggest alternate items if components to complete required fixture are out of stock.
  • Send tracking to customers for shipped orders
  • Answer high volume customer email and phone calls pertaining to new orders past orders, and order status
  • Process returns

  • Proficient in using MS Word, MS Excel, and Outlook, as well as the flexibility to learn and utilize in-house software applications
  • Have a pleasant and professional demeanor on the phone, in person, and through email correspondence.
  • A quick learner and self-starter.
  • Have the ability to overcome obstacles and challenges to drive for maximum customer-driven results.
  • Can work in a constantly changing environment with a diverse group of individuals.

Position requirements:

  • Bachelor’s degree or equivalent experience.
  • Experience in a lighting manufacturing and distribution center industry is preferred.
  • Minimum 2 years’ experience in a customer service role
