Job Duties and Responsibilities
In addition to Classification Standard Duties:

Work with college accountant on managing salary savings (sources and uses).

Produce financial statements for college .
Work with Associate Dean to evaluate, coordinate, and approve all temporary hires (including graduate assistants, faculty summer / temporary hiring), differential for endowed chairs/professorships, and differentials for administrative positions.
Work with Associate Dean on CoB budget – oversee changes to line items, labor redistributions.
Approve requisitions, purchase orders, contracts, etc. for college and some subunits.
Verify funding for posting of positions and requests to make offers for positions.
Approve purchases through the dean’s office.
Review and sign reimbursement vouchers for expenses on dean’s office indexes.

Reallocate departmental budgets annually.
Pay bills (travel, events, registrations, etc.).

Semester review and submission of LANL billing.
Answer questions related to funding and budget.

Attend up to twice monthly HRS User Experience Process Improvement meetings.
Attend periodic Strategic Management Advisory Committee (SMAC) meetings.
Serve as CoB Watermark Faculty Success (formerly Digital Measures) liaison.

Set up workflow in Watermark Faculty Success for promotion and/or tenure packets/applications.

Arrange with ICT secret electronic ballots for CoB elections such as promotion and tenure committee members, faculty senators, etc.

Seek nominations for annual CoB Gold Standard Staff awards and process nominations to CEC.

Review and take action on requests from stakeholders ( e.g., Dean, department heads, and faculty) for interpretation of or guidance on governing documents such as ARP, CoB bylaws, and CoB P&T policies.

Review and take action on CoB faculty and staff job postings and hiring proposals in PeopleAdmin.

Work with department heads and HRS during search and hiring process.
Work with webmaster to ensure CoB website is a professional and practical site for all stakeholders (this is an oversight role – no coding or computer language skills required).

Supervise COB accountant and up to three graduate assistants.

Periodically review and work on updating policy manual.

Serve as “report to” for up to three graduate assistants (deans’ office, BUSA, records/MBA program).

Prompt CEC re CoB teaching awards.

Prompt DHs re committee appointments.

Verify receipt of PhD by new “PhD” faculty.

Maintain documentation of college processes and procedures.

Maintain current list of CoB committee members, faculty senators, etc.
Maintain documentation of college processes and procedures.
Approve Journal Vouchers, monthly research expenditure reports for university, etc. (occasionally involves coordinating with Accounts Payable, Procurement, etc.).
Approve Requisitions, Direct Pays, nonemployee travel.

Oversee building improvement projects as needed (refurbishing of offices and classrooms).

Assign and coordinate faculty offices.

Assist building monitor for the three buildings; meet with Facilities Director monthly.

Review and approve the annual space surveys for the three buildings.
Inventory (equipment) oversight.

Manage and approve NMSU Annual Space Survey.

Work with Associate Dean – meet with COB-IT monthly; manage COB computer lab resource needs.

Manage faculty computing and technology needs.

Lead or Task Force member on strategic initiatives as assigned.

Perform related duties as required.
Classification Summary
Serve as an administrator with oversight and management responsibilities for all fiscal affairs pertinent to all sources of funds available to the College of Business as defined in federal and state administrative guidelines with which the college must comply.
Classification Standard Duties
Supervise, direct, delegate, and evaluate work of assigned staff. Conduct routine review of fiscal conditions of the college with senior college administration. Prepare and present monthly financial reviews on the availability of funds from all sources available to the College. Monitor journal entries, budget revisions, etc. reflecting changes as instructed by college administration. Prepare financial reports. Meet with appropriate deans, department heads, staff, university administrators to discuss problems and resolutions. Implement and administer all federal and state administrative, fiscal and operating compliance requirements. Oversight of personnel related actions. Assure that the proper procedures and efficient processes are followed to guarantee transparency in the management of the financial and budgetary operations of the College of Business. Provide the dean with the necessary advice, follow up and implementation of the best business, accounting, and financial practices to guarantee excellence in the business operations of the college. Maintain an efficient operation of the business resource planning office under her/his oversight promoting optimum customer service, transparency and accountability. Instruct staff on proper accounting for all sources and uses of funds available to the college, focusing on compliance with federal cost accounting standards, NMSU policy, procedure, and practice, funding agency terms and conditions of funding, and generally accepted accounting principles. Inform college executive management of current fiscal position for all sources of funding for the college. Interact with central finance and accounting staff to ensure efficient operations. Interact with auditors and agency requests for information.

Required Education
Master’s degree in business, accounting, or directly-related discipline.
