PURPOSE

This position is within the Financial Operations Team, specifically the Robins Kaplan Billing and Records Department. The Billing Coordinator is responsible for providing general administrative and team support. In addition, process all aspects of drafting and finalizing client bills, communicate internally and externally to various partners and their clients, and supporting the Billing Supervisor and Director of Billing and Records.

WHERE YOU WILL WORK

This role is designated for a hybrid work schedule with 2 days in office per week to facilitate collaboration with key stakeholders and 3 remote days per week.

ESSENTIAL FUNCTIONS

  • Manage team mailboxes for the department
  • Organize workload throughout the day to meet timelines and deadlines
  • Communicate effectively and courteously to LAA, attorney and client inquiries timely
  • Manage undeliverable emails and mail
  • Generate daily reports and maintain various SharePoint trackers
  • Reconcile Ebilling system and Billing tool
  • Process matter close requests and ensure all actions are completed
  • Interpret Outside Council Guidelines/Engagement letters to determine fee arrangements, rate discounts and other special requirements for billing setup in the 3E tool
  • Review new matter open for accuracy
  • Maintain up to date client specific billing procedures
  • Accurately and efficiently, edit, prepare and execute monthly billing for assigned clients. This includes: processing transfers, write-offs, and adjustments
  • Prepare accruals/budgets for clients
  • Work with E-Billing Systems to ensure successful transmission of invoices
  • Prepare spreadsheets and other documentation as needed
  • Assist with billing overflow
  • Assist and complete ad-hoc projects and requests as needed
  • Assist with administrative tasks requested by Billing Supervisor and Director
  • Suggest improvements for team process and procedures
  • Other duties as assigned

KNOWLEDGE OR SKILLS REQUIRED

  • Undergraduate degree in Business, Accounting or Finance.
  • Minimum 2 years of billing experience
  • Strong customer service and communication skills
  • Extremely detailed oriented, acute attention to detail
  • Problem solving skills
  • Ability to work in a team-oriented environment
  • Must be organized and able to multi task
  • Proficiency with MS Word and Excel (formulas, pivot tables and filters)
  • Working knowledge of 3E ideal

PHYSICAL DEMANDS OF POSITION

Work is performed in a professional office environment and requires the following during the work day:

  • Must be able to remain in a stationary position for long periods of time (working at a computer)
  • Ability to move/traverse about inside the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)
  • Operate computer and other office equipment such as a copy machine, printer, telephone, etc.
  • Repetitive movement (i.e. heavy computer/keyboard use).
  • Individual will interact regularly with others verbally, in-person, and via written communication.
  • May require occasional light lifting (files, copy paper, etc.).
