JOB DESCRIPTION


Position:
Business Office/Human Resources Coordinator- Shared between Adair-Casey and Guthrie Center


Reports To:
Superintendent/School Business Official


FLSA Status:
Non-exempt Hourly


PRIMARY FUNCTION:

Perform a variety of confidential, technical and office administrative support, including human resource functions, business procedures, technology functions and tasks to support the School Business Official and Superintendent. Perform clerical processing of the district’s payroll and related accounting activities such as accounts payables and receivables.


DESIRED QUALIFICATIONS
:

  • Associate’s Degree or equivalent training and experience in business office practices, secretarial and office work, specifically dealing with human resource functions and governmental accounting standards.
  • General knowledge of clerical/accounting terminology, methods, procedures and equipment.
  • Basic knowledge of public school finance is preferred, but not required.
  • Thorough knowledge of modern technology and software programs, including MS Office Suite and Google Chrome/Drive.
  • Thorough knowledge of grammar, spelling, and mathematical procedures.
  • Ability to interpret and apply policies and procedures to daily activities.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work independently in the absence of the immediate supervisor.
  • Willingness to take responsibility for own professional development and learn new concepts with limited assistance.
  • Ability to meet and assist the public effectively.
  • Ability to understand and follow oral and written instructions.
  • Strong organizational skills.
  • Cheerful, positive, helpful attitude.
  • Ability to build positive relationships with co-workers, community and staff within other educational offices, including other schools, Area Educational Agencies, Department of Education, etc.


PERFORMANCE RESPONSIBILITIES
:

  • Serve as personnel secretary and human resource specialist, ensuring compliance with all rules, regulations, legislation, state and federal laws.
  • Prepare or maintain employment records related to events such as job posting and advertising, termination or resignation, transfers or promotions, using human resources management system software.
  • Interpret and explain human resources policies, procedures, laws, standards or regulations, as well as master contracts.
  • Assist with hiring employees, referring applicants to managers, and process hiring-related paperwork.
  • Inform job applicants of details such as duties and responsibilities, compensation, benefits, schedules, working conditions or promotion opportunities.
  • Address employee relations issues and concerns.
  • Maintain current knowledge of Equal Employment Opportunity (EEO) and affirmative action guidelines and laws, such as the Americans with Disabilities Act (ADA).
  • Conducts research and prepares special studies and reports as requested by School Business Official and /or Superintendent.
  • Maintain and update human resources documents such as organizational charts, employee handbooks or directories, course credit hour tracking, training and licensing reports, or performance evaluation forms.
  • Gather information related to worker compensation incidents, prepare and submit reports and follow-up documentation to insurance carriers.
  • Independently or in accordance with general instructions compose correspondence concerning a wide range of subjects requiring a thorough knowledge of policies, regulations and operational procedures.
  • Utilizes all appropriate, available and relevant technology to ensure duties are performed effectively.
  • Responsible for performing all payroll functions including processing of checks, maintaining appropriate employment payment records, processing of employee time cards and time sheets for substitutes and payment and reconciliation of all insurance bills.
  • Accounting for all leave requests for all district employees and the maintenance of all leave records.
  • Ensure compliance with most recent payroll tax codes and laws. Ensures tax reports are completed and filed in a timely manner.
  • Handles all necessary correspondence and inquiries pertaining to all payroll related items such as pay received, deductions made, and leave days remaining.
  • Manage disbursement of accounts payable school system funds.
  • Create, edit and email approved purchase orders.
  • Perform any other specific and reasonable duties as shall be requested by the District Superintendent and School Business Official.

Performance will be evaluated in accordance with school board policy and regulations on evaluation of personnel.
