Position Overview
The Campaign Coordinator, United to Beat Malaria will be a critical administrative member of the United to Beat Malaria team, reporting to the Individual Giving Officer. This role will also work closely with the Senior Officer of Partnership & Development, Advocacy Campaign Coordinator, Senior Officer Global Health, Senior Director and Executive Director.
The Coordinator provides support to the corporate partner and individual giving portfolios, the granting portfolio, and overall administrative support of the United to Beat Malaria campaign.
This role requires excellent organizational and communication skills, and attention to detail. This position will work in close collaboration with team members, able to be self-motivated, and work independently with oversight and direction.
This position is an integral part of a supportive and rewarding, close-knit team devoted to identifying, cultivating, and stewarding partners and donors that will help United to Beat Malaria achieve our goals to provide life-saving bed nets and other tools to protect children and families throughout Africa, Latin America, and the Caribbean from malaria. In addition, the Coordinator, with oversight and direction from their supervisor, will facilitate the identification, processing and management of the campaign’s grants to UN and non-UN implementing partners.
This position is based in Washington, DC. (Hybrid schedule)
Essential Functions
Development Portfolio Support (corporate, major and grassroots donors) - 60%
- Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports. (As applicable to the role)
- Maintain a strong knowledge of UNF’s EveryAction and Classy CRMs to be able to create campaigns, extract information, and prepare reports. (As applicable to the role)
- Support the management of direct mail vendor, under the supervision of the Individual Giving Officer, by attending weekly meetings with the vendor, reviewing copy, approving art, and processing Approval to Print documents (ATPs)
- Assist the Individual Giving Officer with the development and execution of fundraising campaigns across platforms, including direct mail, peer-to-peer, and digital
- Assist the Development team with prospecting, recruitment, and engagement of corporate partners, donors, and strategic partners, including virtual and in-person events
- Assist the Development team with stewardship of donors, including phone calls, emails, reports, and postcards, ensuring that donors receive timely and appropriate communications
Grant Management Support (30%)
- Support the Officer, Individual Giving with the management of grants to UN and non-UN implementing partners, working closely with the UTBM Grant Committee comprised of UN Foundation’s Senior Officer of Global Health, the UTBM Executive Director, UTBM Senior Director, Senior Communications Officer, and the UTBM development team
- Support administration and logistics of meeting and materials required for quarterly Grant Committee meeting
- Provide administrative support for the development and processing of new grant proposals, budgets, and payments
- Support development colleagues to receive and process grantee reports for fundraising purposes
- Support administration aspects of grant committee to collect and present key grant outcomes (i.e., total amount granted, number of beneficiaries supported, number of malaria commodities) in preparation for end-of-year reporting to partners, donors, and supporters with oversight from supervisor
Campaign Coordination (10%)
- Assist the United to Beat Malaria Executive Director and Senior Director in administrative support relating to the budget, contracts, campaign reporting and business planning
- Process bills, invoices, reimbursements, and contracts and grants for campaign activities; liaise with Finance department and Business Services/Budget team as needed
- Perform administrative activities with direction from the Senior Director to assist in setting agenda and managing Development & Communications meeting
- Create and maintain United to Beat Malaria t campaign calendar with oversight from supervisor
- Provide administrative support in updating/tracking campaign’s electronic file management systems, team communications platforms (currently Microsoft Teams) and team project management system (currently Asana).
- Assist in the drafting and review of agreements; maintain an understanding of all agreement terms and applicable flow-downs, consulting with UNF’s finance/contracts team as needed. (As applicable to the role)
- Attend training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures. (As applicable to the role)
- Process expense reports for Executive Director and Senior Director of the campaign
- Support in the tracking, management, and ordering of campaign materials with oversight from supervisor
- Assist with the coordination and logistics of team events
- Other duties as assigned
Selection Criteria
- Bachelor’s degree required
- Ability to manage multiple tasks with concurrent deadlines is essential
- Strong organization skills and attention to detail
- Experience with MS Office Suite (Word, Excel, Outlook, PowerPoint, Teams) required. Google Apps, and Canva preferred
- Experience with CRM platforms such as Salesforce, Asana, EveryAction, Classy, Raiser’s Edge strongly preferred
- Experience working with donors, advocates and/or partners and/or customer service experience preferred
- Budgetary experience preferred
- Strong writing experience preferred
- Strong verbal and written communication skills
- Highly collaborative and able to work efficiently across various teams within the UN Foundation
- Enjoy working in a fast-paced environment and multi-task with ease
- Interest in global health, international development and/or United Nations preferred
- Multi-cultural experience
- Ability to travel and work nights and weekends when necessary.
- Ability to work under pressure and handle stress
