Overview

The Client Service Specialist is part of an internal team of professionals with broad financial backgrounds focusing on money management and consulting. The Client Service team acts as a representation of Petersen Hastings’ exemplary service ethic, providing the highest level of care to all Petersen Hastings clients, guests, and team members. The position is the primary interface for client relationships and performs a wide range of customer service-related tasks. A Client Service Specialist brings positive energy and passion to all client interactions, maximizing the client experience and ultimately helping clients to realize their goals and dreams. This position reports directly to the Director of Client Service.


Essential Duties and Responsibilities

  • Proactive communication with clients, verbally and in writing.
  • Deliver superior operational support—troubleshoot problems, schedule and organize meetings; serve as the liaison between the team and client as needed.
  • Manage client information—prepare client reports, submit and follow up on necessary paperwork, regularly update database.
  • Assist clients with inquiries/requests or re-direct, as appropriate.
  • Prepare account paperwork for opening new accounts and/or annuities, terminated accounts and/or account transfers:
    • Facilitate completion of all client applications and transfer documents.
    • Conduct client paperwork signing meetings with client.
  • Work within a defined system where client contact is made on a scheduled, proactive basis:
    • Maintain the daily calendar and schedule of assigned team members.
    • Manage client contacts, provide appropriate follow-up in partnership with the Associate Advisor(s).
    • Compose and generate correspondence and client documents, including spreadsheets and reports.
  • Develop and maintain client relation management procedures and documentation.
  • Quarterly reporting and billing.
  • Client Relationship Management (CRM) and Portfolio Management System (PMS) projects.

Prerequisites

Education and Experience

  • High school diploma required.
  • Minimum of 2 years of related experience in an administrative support role in the financial services industry.

Skills and Knowledge

  • Excellent follow-through and communication to team members regarding status of open items.
  • Ability to handle multiple requests simultaneously and respond quickly.
