Position Summary: Perform clerical and scheduling activities that facilitate agency operations. These activities include coordination of clinical employee schedules as directed by ordered clinical needs and patient direction. Managing scheduler-identified reports, as well as timely communication of patient changes to appropriate home care staff and scanning of documents as required by our regulatory compliance guidelines. Ensure timely initiation of care to keep agency in regulatory compliance. Cover fair share of holidays and weekend coverage as needed. Complete other duties as needed when identified by department leaders.

Responsibilities:

  • Assures that cases are filled within established period.
  • Exhaust all means available to reach patient when contacting for scheduling communication.
  • Assists with the referral process as needed.
  • Maintains schedule for services requested and provided to agency clients.
  • Responds to emergency calls and arranges schedule accordingly.
  • Provides appropriate notification of schedule to employee, client, contract agency, supervisor, and others as appropriate.
  • Works in collaboration with Account Executives and clinical staff/supervisors to meet patient staffing needs.
  • Completes required reports and documentation in a timely manner.
  • Assure safe and effective coverage of client needs.
  • Assigns Agency staff to clients as directed by the licensed professional staff, care plan and service request.
  • Assures employees receive complete and accurate directions and information about client needs as directed by licensed professional staff, care plan and service request.
  • Reports any scheduling changes and/or client concerns to supervisor. Notifies client of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns.
  • Follows up with employee on scheduling problems encountered by the on-call staff.
  • Notifies Supervisor and Clinical Team Managers of clinical needs.
  • Performs job in compliance with agency policies and procedures as well as community and professional standards.
  • Verifies time records with schedules and missed visit reports.
  • Respects confidentiality of information in the client clinical record and only shares this information in accordance with agency policy and HIPAA.
  • Performs other related duties and responsibilities as deemed necessary.

Qualifications:

  • High school graduate; advanced education desirable.
  • Current staffing experience, preferably staffing for a temporary agency or in home health.
  • Knowledge of medical terminology or a general medical background desirable.
  • Demonstrates strong verbal, written and interpersonal communication skills.
  • Working knowledge of Microsoft word, Excel, PowerPoint and Outlook.
  • Demonstrates time management, organizational skills, and ability to function with minimal direction.


Shift: This is a PRN position which means you have a designated work day that will be Sunday 6:30am-6:30pm, you will also need to have flexibility to work other days based on vacation/coverage needs.
