Location: Industrial Hygiene Region Southeast Office

Job Description:

Coordinates with Industrial Hygiene (IH) Services office on contractual requirements, ensuring Contracting Office receives all docs within 72hrs of request.
Knowledge and demonstrated experience in the administrative area with technical and administrative day-to-day support services. Must have knowledge of Federal Government office policies/processes/procedures, and the ability to quickly grasp newly assigned processes and procedures, including performing complex administrative, clerical, and related duties in support of a specific Government team, event, or individual. Be able to work independently with Excellent Sound Judgement, resouceful, creative, problem solver, strong with multi-tasking and organization skills, demonstrate abilty to main effective relations with clients and staff, excellent written and oral commuications is a must! Thorough knowledge of correspondence protocol, including both utilizing correspondence software tools, and hard copy correspondence packages. Excercise confidentiality, discretion, and demonstrate strong customer service skills. Office front desk support may also be required. Additionally, is flexible in adapting to deadlines and changing priorities.

Required Qualifications:

  • Ability to pass a Federal Government security/background check
  • 2+ experience contract and acquisition procedures and processing
  • Experience with maintaining and logging all signed contracts and provide status updates weekly.
  • Must have knowledge of Federal Government office policies, processes, procedures
  • Proven ability to produce quality work under deadlines
  • Strong Organization Skills
  • Work independently and as part of the team
  • Demonstrate excellelnt communication skills Verbal / NonVerbal and Oral/Wiring at all levels of organizations
  • Highly proficient executive level/standard documents (grammar, spelling punctuation, and preparation)
  • Technology Proficient: Current Microsoft Office (Word, Excel, PowerPoint, Outlook), Access, Adobe Acrobat, Internet Web Browsers (Explorere, Good Crome, Edge, etc)
  • Must have the ability to telework effectively with stable internet access
  • Excersise Confidential is a Must!
  • Bachelor’s Degree Required

Highly Desired:

  • Experience in Finance Field in simliar role

Responsibilities:

  • Reports individual duty status daily to the COR, maintain a log of contract progressions.
  • Coordinates with the IH office for all current and future contracting requirements and ensures the Contracting Office receives all documents required to award a contract.
  • Works through the COR, or the KO if the COR is not available, to resolve issues/conflicts, receive technical instructions, and ensure adequate performance of services.
  • Operates an assigned Government computer to input, store, retrieve and manipulate data in various programs, including but not limited to Paperless Contract File (PCF). Uses various software programs to maintain IH files and update the IH Log with statuses of IH requirements.
  • Contractor will work with IH Office to secure missing or legible copies of documentation, as appropriate, to assist the Contracting Office in awarding IH Contracts in a timely manner.
  • Responds to and effectively handles time-sensitive calls and E-mails as they are received.
  • Provides positive feedback to the COR for improvements in processes in IH requirements that will facilitate improved success rate, customer service, or relationships
  • Gains and maintains familiarity with applicable U.S. laws, DoD policies, Army state policies relevant to the processes outlined above, upon commencement of services.
  • Maintains and tracks all DE-obligation requests submitted to the Contracting Office. Coordinates with IH office to ensure proper documentation is received.
  • Performs other duties as assigned that relate specifically to requirements of the IH office and the technical specifications outlined above. Coordinates with the COR to de-conflict any additional duties that may risk running outside of the scope of this contract.

WORK ENVIRONMENT: This job requires work to be completed in a laboratory setting using standard office, medical and laboratory equipment. The employee must occasionally lift or move office products and supplies, up to 50 pounds.

APPEARANCE: All personnel shall be attired in business casual clothing for daily work. Attire worn should always ensure employees safety from working conditions (long pants, appropriate shirts and close toe shoes)

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must portray a professional business attire including closed toe shoes. The employee must always keep the safety of government property secured and undamaged. The employee must occasionally lift or move office products and supplies, up to 50 pounds.
