Credit Manager
Since 1973, Super Stud Building Products, Inc. has been a proud manufacturer of the industry’s most diverse offerings of cold-formed steel framing components and accessories for use in the construction of commercial, institutional, and residential structures. Most of the customers are distributors for the construction business and at least 70% of our customers have been our customers for over 25 years.
Position Summary
The Credit Manager oversees the credit granting and collection process and ensures that there is a consistent application of the company credit policy.

CREDIT AND ACCOUNTS RECEIVABLE RESPONSIBILITIES
Credit Manager for SSBP, Galaxy, SSBP South, DB and Energex and non-customer miscellaneous receivables and cash receipts
1. Send out Credit Applications for new customers and obtain their W-9 and sales tax resale certificates, if applicable. Provide customer set-up information to Accounting to enter or revise customer master files in MetalWare.
2. Review financial statements, D & B reports, Bank and vendor credit references and payment history to perform credit assessments to establish and monitor appropriate credit limits and adjust on a timely basis when there’s significant change in a company’s financial condition.
2a. Request and obtain personal guarantees/continuing guarantee of payments in credit situations where that is necessary to provide the credit limit being requested/required by customer for a job or period of time.
3. Prepare Project Information Sheets on large construction jobs which identify the address, project owner, general contractor, sub-contractor, payment bond information and verify if Companies are eligible to be covered under payment bond.
4. Propose and negotiate Joint Check Agreement with customers and their General Contractors who are going to doing large jobs over a significant duration of time for distributors or contractors who don’t have sufficient credit worthiness for the credit exposure involved in those jobs.
5. Provide COIs to customers requiring them as part of their vendor agreements. Note that often that involves providing special endorsement such as making them added insureds or loss payee and modifying wording for defend and indemnify clauses.
6. Contact customers to follow-up on skipped invoices and to obtain payment status on outstanding balances ( do face-to-face meetings on severely delinquent accounts.)
7. Monitor customer payment patterns to detect any slippage in payment timing and then bring that to customer’s attention and request payment according to the terms and conditions in our credit application.
8. Contact customers to make demands for payment on past due balances or balances in excess of the established credit limit as a condition of releasing new sales order which go on credit hold.
8a. Negotiate payment schedules with customers who have severely past due accounts.
9. Notify customers of NSF checks and arrange for replacement checks/deposits
10. Investigate payment deductions from customers which haven’t been previously authorized and reconcile differences with customers.
10a. Sometimes this involves preparing summary excel schedule of customer invoices and related payments and e-mailing that to customers to verify.
10b. Provide Accounting Associate with details for cash application when payments are made on account and don’t match up to individual unpaid invoices amounts (or credit memos are for invoices which have already been paid in full)
10c. File disputes on Home Depot. Dispute resolution portal for unpaid Home Depot
Invoices and follow up to get timely payments.
11. Analyze requests for credit memo’s, prepare credit memos with supporting documentation for written approved by the COO and CFO.
12. Process credit card payments for those customers who are authorized by Sales to pay by credit card.
Maintain Excel Spreadsheet summary of credit card payments to be used to verify accuracy of monthly merchant company invoiced charges.
13. Review A/R aging monthly to identify accounts for inclusion in the allowance for doubtful accounts at the end of every reporting period.
14. Process customer lien waivers when requested by verifying payments to date and certifying that information back to customer for construction drawdowns.
15. Escalate credit issues to CFO for assistance in resolving when appropriate.
16. Prepare and file liens on jobs where Company meets lien requirements when all other collection efforts are not resulting in payment commitments from the customer.
17. Turn accounts that are severely delinquent over to Credit Collection Agency (NCS) on a timely basis and follow-up with collection agency regarding collection activities and revolts.
18. File Proofs of Claim on Bankruptcies and monitor for subsequent developments and make adjustments to the Allowance for Doubtful Accounts for anticipated recoveries.
19. Prepare write-off authorizations for CFO to sign on accounts which become insolvent without any further opportunity for recovery.
20. Maintain records retention for Credit and A/R documentation in accordance with Company polices.
Qualifications
· Minimum 3 years of Credit Manager experience, preferably in a manufacturing company.
· Excellent verbal and written communication skills.
· Understanding of state and federal laws pertaining to collection activities.
· Excellent organizational skills and attention to detail.
· Ability to keep information confidential, to exercise integrity & discretion.
· Ability to remain professional in confrontational conversations.
· Proficient in Microsoft Office Suite or related software program
· Ability to work independently in a fast-paced environment
Education
4 year College Degree in business related area
