Job Summary


Schedules assigned events and manages event contracts. Arranges room reservations and event space set-up. Primary contact for customers, assists with planning, reservations and logistics. Maintains accurate and up-to-date event policies and procedures.

Responsibilities

KEY RESPONSIBILITIES:
  • Assist in the planning of Presidential, Signature and VIP events from start to finish, according to requirements, target audience, and event objectives
  • Provides professional client services in the planning, organizing and managing of internal and external events, to include logistics, registration and attendee tracking, presentation and materials and pre-and post-event evaluations
  • Coordinates necessary arrangements with campus supports groups for events (Catering, Building Services, Public Safety, UITS, Residence Life, Parking, etc.)
  • Troubleshoots EMS challenges for clients either by phone, email or in-person
  • Coordinates staffing for appropriate event coverage; set-up to breakdown
  • Produces contracts and invoices for events, monitors the collection of fees, and provides payment information to appropriate personnel
  • Creates diagrams and floor plans with setup requirements
  • Creates, maintains and executes timeline for events
  • Checks set-up for scheduled events with oversight in some of the larger event venues
  • Provides on-site event support including after-hours and weekend events on both campuses and/or other venues as assigned
  • Periodically oversees and assists with set ups as needed moving tables, chairs, podium, stanchions, floor carpet install and tear down
  • Maintain department purchasing card
  • Manage event inventory for purchases, surplus, repairs, etc.
  • Oversee the linen cleaning process, schedule, and inventory
  • Serve as backup for Assistant Director when out on vacation, sick, etc. in regard to Presidential Events

Required Qualifications


Educational Requirements
Bachelors degree from an accredited institution of higher education in related field

Other Required Qualifications
Current, valid, and unrestricted Georgia drivers license

Required Experience
Two (2) years of related work experience

Preferred Qualifications


Preferred Experience
Event Management System software experience or similar software a plus
Prior experience with event operations at an institution of higher learning

Able to handle multiple tasks or projects at one time meeting assigned deadlines
Ability to apply technology and innovation to improve efficiency and solve problems

KNOWLEDGE
Budgetary experience.Experience creating and updating excel spreadsheets

Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, Event Management System or similar event software experience)

SKILLS
Experience creating and updating excel spreadsheets
Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
