Job description
We are seeking a well-organized Executive Assistant to provide support for the Division President of Southern California. The ideal candidate is energetic, adaptable, and an active thinker who always looks for the best approach. The EA must be able to work independently and enjoy the administrative challenges of supporting a diverse team to include senior leadership and multiple departments. Responsibilities
Manage a busy calendar, interacting with both internal and external parties.
Deliver exceptional service to all internal and external clients and visitors.
Organize travel needs and prepare detailed travel itineraries for President using Clark’s travel site – Egencia.
Organize and submit expense reports via Coupa platform.
Handle event planning to include region wide team gatherings
Coordinate regional philanthropy/volunteering.
Meeting Presentations.
Coordinate internal meetings as well as conference room coordination and support.
Prioritize and manage multiple projects simultaneously.
Maintain accurate documentation and filing systems; owner contracts and business licenses.
Provide support to other members of the department's team as needed.
Other duties may be assigned, as necessary
Qualifications
7+ years experience in an Executive Assistant or similar role supporting senior leadership and/or department in administrative capacity
Demonstrated ability to 'think on your feet' and solve problems
Personal confidence and a passion for customer service
Can-do attitude with superior organizational skills and accuracy
Ability to maintain confidentiality in all aspects of job responsibilities
Clear and concise written and verbal communication skills
Ability to juggle multiple competing priorities under deadlines
Must be advanced in Microsoft Office applications. Google Suite is a plus
Ability to navigate online platforms, such as WorkDay, Salesforce, Coupa & Egencia
Ability and willingness to work occasional early mornings, evenings, and/or weekends as needed
Must have mode of transportation to run occasional errands

Clark offers a total compensation package that includes base salary, bonus potential, and a comprehensive benefits package that includes health benefits (medical and dental plans), paid time off (vacation, sick and holiday), financial benefits (retirement plan with both match and annual company contribution, life insurance, short and long term disability, and commuter benefits). Additional benefits include fitness reimbursement, healthcare and dependent care pre-tax spending plans, tuition reimbursement, back-up daycare and family support benefits, EAP, work life assistance and a holiday contribution program. Base salaries will be determined by factors such as geographic location, education, skills, experience, and market considerations. For this role the base salary range is $75,000-115,000.
