We are hiring an Executive Assistant (EA) to support our Chief HR Officer and General Counsel. In this role, you will be a true EA business partner to our leaders not only through managing core calendars, but also playing a leading role managing the coordination and logistics of our corporate and team meetings, travel logistics, and administration of documents. Let's talk about some of the key responsibilities of the role:

  • Perform a wide variety of executive administrative duties as required in the daily operation of the company, partnering with the Office Manager and other Administrative support staff to ensure the office runs smoothly.
  • Coordinate logistics and catering for corporate meetings, such as our All Hands Meeting, department team meetings and conferences as needed, as well as supporting Board and Board committee meetings.
  • Prepare or generate documents including routine internal and external correspondence and communication, timelines, charts, tables, meeting agendas, minutes, and presentations in an organized and visually appealing style.
  • Coordinate arrangements for executive level meetings including travel and lodging needs, including international travel.
  • Ability to maintain confidentiality of sensitive information. Set up and maintain records and files, which may contain confidential information.
  • Maintain executive calendars and perform daily scheduling.
  • Handle special projects in an independent approach; participate in cross-functional teams as member or leader.
  • Support departmental team members with Microsoft Office Suite functions.
  • Enter expense reports according to the Travel & Expense Policy.
  • Provide back-up phone assistance when needed.
  • Plan and coordinate corporate events throughout the year partnering with our meeting planning function. This includes support of vendor selection, vendor contract negotiation, creating task force committees, event execution and follow-up.
  • Use problem analysis and project management skills to complete special projects as requested.
  • Provide backup to the HR team, including ongoing support and coordination of culture and HR initiatives throughout the year.

Factors for Success:

  • Minimum High School diploma/GED or 4 years of equivalent experience in a professional business-oriented industry. Bachelor's degree preferred.
  • Minimum 8 years administrative experience with at least 3 years supporting senior level executives.
  • Demonstrated ability to develop and maintain strong working partnerships.
  • Well organized and efficient with the ability to handle multiple tasks simultaneously and respond quickly and proficiently to requests.
  • Excellent time management skills and ability to prioritize work and activities with limited guidance while able to meet stringent deadlines.
  • Able to provide clear guidance and direction for other support team members.
  • Proactive thinker – creative and consistently generate new and original ideas to improve processes and procedures, and the ability to anticipate executive requirements.
  • Must understand, follow, and comply with regulatory requirements as applicable to various processes.
  • Must possess a thorough understanding of common business practices and work-related standards and regulations, including but not limited to Standard Operating Procedures (SOPs).
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office Suite and various computer programs and systems required for the position.
  • Proficient in scheduling travel, meetings, and coordination for the executives.
  • Strong problem-solving, judgment and decision-making skills are required.

  • The position will be based in our beautiful Irvine office, complete with a courtyard, table tennis, snacks and drinks and occasional catered meals
  • This position reports directly to the Chief Human Resources Officer and General Counsel

The expected base pay range for this position is $87,200 - $113,400 plus bonus, stock equity and comprehensive benefits. This base pay range reflects the target range for this position, but individual pay will be determined by additional factors such as job-related skills, experience and relevant education or training.
