Summary: Functions as the Executive Assistant (EA) in a team-and mission-based setting to provide organizational, secretarial, clerical and administrative support to the CEO and is responsible for the daily clerical office operations and functions of Administration department. EA performs comprehensive and specialized administrative functions of a highly responsible and confidential nature for the executive leadership. EA provides ongoing support related to hospital regarding contracts, letters, forms, presentations, mail, agendas, meeting minutes, maintaining files, scheduling of meetings, receiving visitors, and conducting special projects etc. EA oversees policy and procedure workflow for Northern Cochise Community Hospital (NCCH). EA must project a professional appearance and be well organized with strong critical thinking skills. Participates in performance improvement and continuous quality improvement activities.

This position requires a commitment to teamwork, collaboration and department scheduling needs i.e. good attendance, attitude, customer services, communication skills, critical thinking skills, etc.,

Supervision Received: Works under the direct supervision of the Chief Executive Officer (CEO) or designated administrator. Exercises progressive levels of autonomy in day-to-day activities based on satisfactory job performance.



Essential Functions:


Administrative support to the CEO for daily operational items

Secretarial, Clerical & Administrative Services


Oversees Policy and Procedure workflow for NCCH


Secondary Functions:

Compiles data for special projects as requested.

Participates in community and organizational events as needed.

Perform any other related duties need to help drive our Vision, fulfill our Mission, and abide by our Organization’s Values.

Effective Use of Resources:

Maximize the use of resources while minimizing waste and controlling expenses. This includes the effective use of work time and supplies, working safely, following established work practices or policies, and seeking ways to improve operations.

Education and/or Experience:


High school diploma or equivalent. Bachelors’ degree in Business Administration, Healthcare, or related field, preferred.

Must have proven understanding of general office functions and ability to work independently, required.

Three years of progressively responsible administrative secretarial/support experience, highly desirable.

Minimum three (3) years of experience working in a clerical or administrative support position in an acute care setting with physician and/or administration interaction, preferred.

Necessary Knowledge, Skills, and Abilities:

§ Strong knowledge of computer applications and Microsoft Office suite of Programs (Word, Excel & Outlook, etc.) and in creating databases and spreadsheets.

§ Strong typing and filing skills; written and verbal communication, problem solving, and organization skills.

§ Ability to use independent judgment in responding to requests for information, solving operational issues, and maintaining sensitive materials and other office records and files

§ Ability to critically think and assess situations for further appropriate action.

§ Ability to communicate professionally and effectively with a variety of people that may be in distress.

§ Ability to prioritize, follow directions, take accurate notes, and communicate effectively with all departments.

§ Writes clearly and informatively; edits work for spelling and grammar; varies writing style to meet needs; presents numerical data effectively; and is able to read and interpret written information.

§ Self-starter, self-directed, organized, independent thinker with analytical skills to assess situations.

§ Ability to keep information confidential and address sensitive situations with tact.

§ Ability to understand medical/ legal issues, regulatory agency requirements (state, federal, CMS, CAH).

Certificates, Licenses, Registrations: Arizona Notary Public, preferred or obtained within 6 months of hire.
