Overview of the role

Velo3D is looking for a bright and eager professional who is seeking the opportunity to be part of a dynamic team and provide incredible support to the CEO and executive team in a fast-paced environment.

The Executive Assistant (EA) at Velo3D goes above and beyond the scope of a typical EA position. This person will become the ‘right hand’ of the CEO and the leadership team they support, anticipating needs, requirements, and being one step ahead of the game. This person will plan and prioritize ahead of time yet have the agility to pivot in the moment when important matters arise.

The Executive Assistant will maintain a high degree of confidentiality, integrity, and professionalism. This role is incredibly fast-paced, so the ideal candidate will embrace the pace, prioritize and reprioritize often, and operate with the ability to be flexible. In addition to the primary EA duties, this role will support the CEO with select personal assistant duties such as providing beverages between meetings, picking up or dropping off items outside of the office, scheduling external meetings, etc.

Primary responsibilities

    • Complex calendar management: Book meetings and create/update meeting cadences to reflect business priorities, align with executives on schedules, proactively schedule meetings, and regularly work with internal and external stakeholders, including customers and the Board of Directors, for scheduling.
    • Board interaction and scheduling: Partner with the company’s board members to calendar board meetings, 1:1 meetings, and other meetings or events as needed.
    • Schedule management: Support the busy days of the CEO by keeping him on schedule throughout the day.
    • Travel planning: Book executive travel and manage end-to-end travel logistics
    • Event management: Coordinate and lead planning and logistics for small and large team and company meetings and events
    • Project management: Track and manage action items, deadlines, and projects under this position’s purview
    • Communications: Manage communications on behalf of the CEO; draft correspondences, screen and filter emails, answer inquiries/meeting requests, and ensure high-priority items are addressed in a timely manner.
    • Candidate coordination: Assist with interview scheduling and candidate support for multiple teams to drive efficiency and a positive candidate experience.
    • Expense management: Manage reconciliation of expenses for the CEO and executive team
    • Demonstrate a high level of professionalism and the ability to handle sensitive matters while exercising sound judgment, discretion, and confidentiality

Additional responsibilities

    • Office management: manage the inventory and ordering of office supplies for multiple offices
    • Office improvements: manage the appearance of the Campbell and Fremont offices; suggest office improvements to ensure both offices are comfortable workplaces for employees.
    • Duel office support: Regularly travel between the Campbell and Fremont offices to support the CEO based on his schedule
    • Technical support: Support the setup and troubleshooting of virtual meetings as needed
    • Other support as needed: Support other company projects, culture initiatives, the company’s meal delivery vendor, and other strategic work and tactical/administrative tasks as needed

What You’ll Bring

    • 4+ years’ experience supporting executives and VPs (prior CEO support is a plus)
    • A positive, can-do attitude, and an excellent ability to build strong relationships
    • The ability to prioritize and handle multiple tasks simultaneously, sometimes in time-critical situations
    • A high level of discretion and integrity
    • An aptitude to meet deadlines and operate with a sense of urgency
    • Analytical skills with the ability to continuously improve processes
    • Excellent decision-making, organizational, planning, and problem-solving skills
    • Excellent verbal and written communication skills
    • Strong interpersonal skills and ability to remain calm under pressure
    • Proficient in Microsoft Office and other programs including Outlook, Word, Excel, PowerPoint, OneNote, SharePoint; Slack; Expensify; Zoom
    • A passion for supporting high-performance teams, with an understanding that every task counts!
    • Experience in a startup environment is a plus

Our job titles may span more than one career level. The starting base salary for this full-time position is between $104,000 and $120,000. This salary range reflects the minimum and maximum target for this position in the U.S. The actual base pay is dependent upon many factors, such as work experience, job-related skills, related education, work location, and market demands. The base pay range is subject to change and may be modified in the future. In addition to a competitive base salary and a comprehensive benefits package, this position may be eligible for other forms of compensation such as participation in a bonus and equity program, as applicable.
