Reporting to the Facility Manager, the Facility Coordinator is responsible for ensuring the optimal working environment and condition for the AAOS's Rosemont and Washington, DC offices. The team member will be responsible for supporting the Facilities Manager and building engineers with building safety, routine inspections, and maintenance of building equipment/amenities. Assists Facility Manager with tenant services, preventive maintenance, purchasing, inventory control, budgeting, invoice management, vendor relationships, supervising contractors as needed and general maintenance. Must be proactive in addressing issues and responsive to the needs of the tenants, facility management, and leadership promptly and professionally.

  • Conducts routine inspections of building systems, equipment, and infrastructure to identify issues and ensure proper functioning.
  • Coordinates routine services such janitorial service, office cleaning, kitchen management, and supply management. Works with Office Services to manage supply orders along with coffee and water dispenser supplies and contracts. Work closely with vendors and contractors to manage service contracts and ensure work is completed in a timely and satisfactory manner.
  • Oversees and coordinates routine and seasonal decoration, paint and finishes throughout the building, artwork, plant management, and furniture maintenance/replacement. Assists with the planning and execution of building renovations, improvements, and upgrades. Coordinates and schedules maintenance and repair work for building equipment, including HVAC systems, plumbing, electrical, and other systems.
  • Maintains accurate records of all work performed, including maintenance logs, repair invoices, and vendor contracts, as well as documentation of key process.
  • Assists with the creation and routine refresh of procedures and policies related to facilities, building safety, and security which includes, but is not limited to building evacuation and emergency services plans, SDS documentation and storage facilities.
  • Assists with the management of building, access, and security systems, including keycard access, surveillance cameras, and alarm systems.
  • Assists with Security, Engineering and Office Service needs for both the Rosemont and Washington, DC offices Responds to AAOS and tenant requests for maintenance and repair services in a timely and professional manner.
  • Educates employees on building and safety procedures and tools, including but not limited to conducting the bi-weekly facilities portion of new employee orientation.

  • Up to 5 days per year

Qualification:

Required:

  • High school diploma or equivalent; some college coursework in facilities management, engineering, or related field preferred, or an Associate's degree.
  • 3+ years of Facility coordinating experience.
  • Knowledge of building systems and infrastructure, including HVAC, plumbing, electrical, and fire safety systems
  • Exceptional interpersonal and organizational skills
  • Ability to independently execute technically complex projects in a timely manner, reporting progress to supervisor.
  • Flexibility and adaptability to changing work environment and ability to respond to building emergencies.
  • Proficiency in Microsoft Office Suite and building management software.

Desired:

  • Experience using 360 Facility or other FM, ticketed software experience.
  • Experience using Rise Buildings or other visitor management software.
  • Experience using Office Space or other virtual office seating software.
  • Multi-tenant experience.

This position is based in Rosemont, Illinois and is open to applicants who are able to commute weekly to this office.
