Purpose of the Position:
The Graduate Documentation Specialist is responsible for, but not limited to, supporting the Career Services Department in the coordination of all graduate resources to increase positive placement outcomes. The Graduate Resources Coordinator reports to the Manager of Graduate Success.


UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.

  • Anticipated starting rate of $18.00 per hour

Key Responsibilities:
Functional:
  • Provide compliant daily operational support for the Career Services Department.
  • Support successful placement outcomes by completing the pre-defined processes for graduate resources, including but not limited to transportation, wardrobe or appearance, childcare, and other remediation efforts.
  • Effectively communicate at the advisor, manager, and leadership level on day-to-day issues affecting daily business operations to collaborate and resolve keeping the best interest of the graduate top of mind.
  • Liaise with graduates as requested to coordinate/confirm resources.
  • Complete due diligence in identifying cost-saving resource strategies without putting graduate outcomes/placements in jeopardy.
  • Participate in training of graduate resources as needed.
  • Aggregate graduate resource data as requested to show trends in resource effectiveness.
  • Research new graduate resources as requested that could provide positive impact on graduate placement outcomes.
  • Other duties as assigned.

Compliance:
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.

Work Experience, Skills & Abilities:
Minimum Requirements:
  • Minimum of 2-5 years administrative experience preferred.
  • Knowledge of the Career Service Advisor role and experience overcoming graduate obstacles.
  • Experience with MS office suite including Excel, Project, Visio, required.

  • Able to multi-task and set priorities to ensure a smooth operation.

Working Environment:
  • Flexibility to work evenings and weekends as needed.
  • This is a full-time remote position

Physical Demands:
  • Requires long periods of sitting at a desk working on a computer.
  • Requires occasional bending, stooping and squatting.
  • Requires occasional lifting of up to 10 lbs.
