Grants and Reports Assistant
MAJOR FUNCTION: Main responsibilities include writing for grant applications, completing grant reports, and conducting grant research as assigned. Position is also responsible for assisting with funder communication, maintaining accurate grant records, and assisting with funder site visits.

SPECIFIC RESPONSIBILITIES:
- Works closely with Grants and Compliance Manager in ensuring completion of grant applications and required reports on grant-funded programs and projects.
- Responsible for assisting with compiling all required grant reports accurately which includes obtaining data from Data and Technology Specialist, Program Manager, Director of Finance, and others, reviewing and understanding grant goals and outcome requirements, as well as developing an understanding of how to analyze/interpret and understand grant data.
- Researches new funding opportunities and assists with writing and reviewing persuasive and substantive proposals for obtaining grants.
- Serve as a backup contact for agency funders. Provides information and updates for the agency deliverables tracking spreadsheet which includes applications and report due dates. Ensures agency is on track as it relates to submitting applications and reports. Also provides support for the completion of the agency’s Key Performance Indicator (KPI) Report and Snapshot Reports to ensure they are ready for distribution.
- Maintains accurate funder records, ensuring that funder information is up-to-date and error free. Generates necessary reports on a scheduled and as needed basis. Identifies informational needs and as directed, develops tools to meet the needs.
- Responsible for assisting with tracking all funding deliverables, documenting all donations and grant funds by entering records into funder database and appropriate file on the shared drive, providing the CEO and Grants and Compliance Manager documentation for review as needed, and generating thank you/receipt letters within 72 hours.
- Assists in the production and mailing of funding request and thank you letters, annual reports, and other funder correspondence.
- Provides assistance with agency events as needed; provides staff support immediately before, during, or after an event.
- Assist in tracking and organizing relevant agency information, such as: client testimonials, success stories, annual reports, etc.
- Responsible for other job duties as assigned.
MINIMUM REQUIREMENTS
Physical Requirements
- Sufficient hearing and speaking ability to communicate over the phone and in person with callers, staff members, visitors and other professionals.
- Sufficient sight to read extensive written documents with or without accommodation.
- Sufficient manual dexterity to type documents with or without accommodation.
- Sufficient manual dexterity to type documents.
- Sufficient strength to lift and carry mail and event materials.
- Sufficient visual acuity to be able to make accurate, well aligned copies.
Education/Training
- Bachelor’s Degree preferred with minimum one year experience in grant-writing, fundraising or non-profit field
- High school diploma and three years’ experience grant-writing, fundraising or non-profit field.
Knowledge/Skills/Abilities
- Strong writing, analytical and organizational skills with the ability to work independently and prioritize tasks.
- Requires high attention to detail, and ability to work with budgets/financial data.
- Ability to establish rapport and communicate effectively with a variety of people, including staff and volunteers.
- Strong communication skills to communicate effectively both orally and in writing.
- Ability to ask for help when needed, a positive attitude, interested in ongoing learning and open to productive feedback.
- Requires good attendance and punctuality, and professional demeanor.
- Knowledge of Donor Perfect or other donor database preferred.
- Knowledge of office equipment and procedures.
- Knowledge of Microsoft Office and general computer skills.
- Ability to follow through on assigned tasks with minimum supervision.
- Ability to be flexible and assume new tasks as assigned or required.
Job Type: Part-time
Pay: $17.00 - $20.00 per hour
