What You'll Do
Summary:
To provide coverage for release of health information functions for written requests for health information. Duties include opening mail, verification of proper authorization, utilization of Epic electronic medical record and legacy electronic medical record, and microfilm systems. Entering all requests into Epic release of information (ROI) module, answering telephone calls related to the ROI function and other miscellaneous and logging/ tracking responsibilities. Works in high profile, pressure situation having frequent communications with patients, physicians’ offices, attorneys, law enforcement officials and third-party payors. Ensures responses to requests for medical information are based on internal policy, NC Statutes, licensing standards and federal regulations.
Responsibilities:
1.Handles and Processes all aspects of preparation and distribution of information available in the patient’s legal medical record as requested by appropriate individuals and NHRMC departments. Processes incoming requests for the release of information. Discloses patient information to appropriate parties and ensures that information is released from HIM is in accordance with applicable guidelines and policy.
2.Demonstrates a complete understanding of the release of information process, including guidelines as related to regulatory guidelines, policy, and procedures as they are related to patient care information and billing information.
3.Functions as the medico-legal expert for the department, acquiring and maintaining the level of understanding of all legal aspects of medical records and confidentiality that ensure the fulfillment of that role.
4.Opens and/or retrieves requests from fax machine, walk-ins, US postal service, or on hold report.
5.Screens each request for release of information requirements and verifies proper authorization.
6.Utilizes EHR and legacy systems to obtain medical record numbers and dates of service.
7.Enters, requestor, requestor type, request purpose, authorization type, and other data items into EPIC release module.
8.Identifies locations and retrieves, medical records needed to complete ROI request.
9.Tracks medical records during ROI request processing
10.Provides coverage for release of health information functions.
11.Uses EHR system to locate electronic health information, bill for copies of records and delivery of health information when applicable.
12.Answers telephone calls related to the ROI function and numerous other small associated duties.
13. Processes STAT requests and walk-in requests the same day.
Position Requirements
Education:
High School Diploma
Other information:
Education: High School Diploma required. Graduate of two-year college program preferred, either program in Health Information Technology or Paralegal Program preferred. Computer knowledge/training required.
Licensure: Graduate of RHIT, RHIA or Paralegal program preferred
Experience: Two years medical record experience preferred. Basic Microsoft Word and Excel proficiency preferred.
Demonstrates standards of performance (ownership, teamwork, communication, compassion) that support patient satisfaction and principles of service excellence.
Performs other duties as assigned. Individual will possess commensurate combination of education, experience and qualifications.
