On-Site/Remote: 50% on-site, 50% Remote
This position is hourly non-exempt
The Objective:
You will assist the infrastructure function for PPRM to ensure that both the facilities and purchasing functions within the infrastructure team are well supported and able to fulfill their missions to PPRM health centers, administrative staff, and outside customers. You will also assist with requests to support PPRM’s Leadership Team as needed.
Success: This role is successful when PPRM health centers are well-maintained to brand standards. PPRM centers and staff have the medical and office supplies and equipment necessary to carry out their work and provide health care services to patients and the community. It is also successful when the PPRM Leadership Team has the support needed to fulfill their roles.
Snapshot: On a given day, you may be following up with facilities vendors to ensure their work is complete, helping to track facilities inventory or ticket status, tracking down the status of orders that haven’t yet arrived, setting up and helping run events, updating key pieces of administrative data, and managing the mail all with excellent customer service. You may also assist the warehouse with ordering, shipping, or inventory processes,
Qualifications:
- Experience in administrative functions.
- Strong customer and vendor management skills are essential. Project management skills and experience with accounting/ERP software and inventory systems are a plus.
- Familiarity with facilities management concepts is a plus.
- The position requires computer skills (Excel, Outlook, Word) and attention to detail.

Primary Areas of Responsibility/Essential Functions:
- In this role you will:
Assist Facilities: You will be working with the Facilities Manager and the rest of the Infrastructure team to help them ensure that PPRM facilities meet regulatory and accreditation requirements brand standards and the organization’s overall capacity needs. Among your responsibilities, you will:
- Help triage facility requests to ensure repairs and maintenance are performed in a timely manner at a high level.
- Assist with various facilities projects, including providing on-site supervision and support as needed
- Research new facilities vendors as needed.
- Assist in the gathering of information about PPRM’s facilities and related equipment, such as HVAC, plumbing, electrical, leases, floor plans, etc.
- Assist in the scheduling of reoccurring maintenance for all properties, including HVAC, plumbing, electrical, waste management, housekeeping, snow removal, landscaping, flooring, wall paint, recycling, etc. for all owned and leased properties.
- Assist in the coordination of internal moves and relocations, including furniture and equipment needs.
- Provide backup and onsite support for the Facilities Manager as needed.
Assist Purchasing: You will be working with the Purchasing Manager and the rest of the Infrastructure team to help them ensure that PPRM health centers and staff have the resources and materials necessary to do our work. Among your responsibilities, you will:
- Help triage purchasing requests to ensure that products and supplies reach our health centers in a timely manner.
- Assist with various purchasing functions, including fulfilling orders made to the PPRM warehouse, receiving shipments, making orders as needed, and inventory processes.
- Assist with any necessary product and price research as needed.
- Provide backup and onsite support for the Purchasing Manager as needed.
Administrative Support: You will be working with the Infrastructure team, the Compliance and Business Administration team, and the Leadership Team to provide various administrative support. Among your responsibilities, you will:
- Oversee copy room to include upkeep, stocking, and fax distribution.
- Oversee general building assignments (i.e. KP duty, etc.), administration phone extension list, PPRM Agency Directory, and Emergency Phone Tree List.
- Coordinate meeting spaces, incoming and outgoing mail, and deliveries for the Park Hill admin office
- Maintain general Park Hill admin office information such as emergency phone tree, changes in staffing/office assignments, and general office policies.
- Assist with in-person meetings, such as helping to provide and replenish refreshments, assisting with printouts, assisting with A/V needs, etc.
- Assist with requests to support the Leadership Team as needed.
- Assist other Infrastructure team colleagues as needed.

COVID-19 Vaccine & Booster: PPRM requires that all employees are fully vaccinated and boosted as a condition of employment. An employee is considered fully vaccinated two weeks after receiving the second dose of a two-dose vaccine (Pfizer or Moderna) or one dose of a single- dose vaccination (Johnson and Johnson/Janssen). The COVID-19 vaccine booster shot is required by the first day of employment, or five months after receiving the final dose of the original vaccine series, whichever is later. Proof must be uploaded upon starting. You will upload a picture or pdf of your vaccination card(s) on your first day of orientation.
Flu Protocol: All employees working directly with patients or working in a health center will be required to have the flu shot or wear a mask during patient contact or while in the health center from October 1 – April 30 each year (Flu Season). The flu shot will be available to health center employees in the health center in addition to being able to seek the flu vaccine externally through the medical plan or reimbursement.
