Job Description:
To administer Invoicing, Dispute Management, & Credit Memo processing activities for Greif North America. This role will ensure timely invoicing, dispute management, and credit memo processing as part of the Invoice to Cash processing improving Operating Working Capital.
Key Responsibilities
- The Invoicing Specialist will report to the Supervisor Cash Applications & Invoicing responsible for invoicing, dispute management, and credit memo processing within Greif North America.
- Recognize revenue and bill customers on a daily, weekly, & monthly billing cycle.
- Assist Supervisor Cash Application & Invoicing with daily, weekly, and monthly invoice reconciliation and audit reporting for timely invoice distribution and revenue recognition.
- Utilize external customer websites to submit billing. Bill PO’s / invoices on customer’s web billing sites. Ensuring timely and accurate invoice billing.
- Identification and problem solving with IT dept. on systems supporting EDI & Elemica invoicing transmissions. Ensures timely and accurate transmission of electronic invoicing.
- Ensures timely invoicing within the SLA established period of time. This includes all forms of invoicing: daily, monthly, consolidated, consignment, and distribution methods.
- Assist with implementing process and system controls for invoicing, dispute management, and credit memo functions increasing controls and efficiency.
- Facilitate the complete Dispute Management process. Dispute coding, Dispute facilitation, Dispute Reporting, Root Cause Analysis, Implementing process improvements, and credit memos processing with vested parties that include but not limited to: CSS, Plant, Sales, Cash Application, and Credit & Collections.
- Maintain 24-48 hour turn around on properly approved credit memo processing and credit & rebill scenarios ensuring validation of supporting documentation and approvals for audit compliance.
- Assist Supervisor Cash Application / Invoicing with invoicing integrations pertaining to acquisitions. System and documentation needs addressed to ensure smooth transition and timely cash application and invoicing.
- Assist the Supervisor Cash Applications & Invoicing with analytical reporting to Greif Organization on the following but not limited to: Dispute Management / Short Pay Root Cause Analysis, Timely Invoicing, Invoicing Methods, Invoice Accuracy. Additional reporting as needs and times permit.
- Assist Supervisor Cash Applications & Invoicing with creating, maintaining, and achieving defined department goals and objectives to invoicing, dispute management, and credit memo processing.
- Takes appropriate action to timely resolve process bottlenecks.
- Maintains a cooperative problem solving relationship with internal and external customers, sales, and manufacturing organizations to ensure for the timely invoicing, dispute management, & credit memo processing.
- Assist with Internal & External Audits pertaining to invoicing, dispute management, & Credit memo processing.
- Assist with the facilitation of Purchase Order Verification importance to Greif organization.
- Assist with the facilitation of Inter-Company process: invoicing, statements, quarterly billings, and dispute resolution of outstanding balances.
- Performs other duties as assigned.
Education and Experience
High School Degree or equivalent required; Technical School with related coursework preferred.
Knowledge and Skills
- Excellent communication and negotiation skills
- Advanced knowledge of Excel .
- Basic understanding of accounting principals and financial statements.
- Basic understanding of invoicing, dispute management, and credit memo processing.
- Detail oriented.
- Organization skills
