The Lead Administrative Specialist will manage the off-site medical records storage project by providing direct oversight and coordination of the project.

Essential Functions:
  • Reviews, offsite medical records for retention or destruction of stored medical records according to regulatory standards.
  • Coordinates interaction between the off-site storage company (Iron Mountain) and TFP Practices for record review.
  • Coordinates pick-up, delivery, and destruction of records as appropriate.
  • Creates and maintains database of records retained and destroyed.
  • Generates and coordinates yearly box(s) destruction lists for all departments.
  • Guide or task other employees with the review of records. Train employees as needed.
  • Coordinates information up and down the School of Medicine departments as required by the Assistant Dean of Medical Education and Administartion
  • May give direction to Administrators, clerks, and secretaries as directed.
  • May independently address and/or resolves problems within policies and procedures.
  • Performs other duties as assigned

Required Education & Experience:
At least three years of directly related experience performing administrative functions. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:
  • Must have strong organizational, analytical and time management skills.
  • Ability to perform basic clerical/office skills and file management skills and computer skills.
  • Excellent attention to detail.
  • Strong written and verbal communication skills
  • Proficiency using Microsoft word and excel.
Preferred:
  • Bachelor's degree

This position requires a background check.
