Brief Position Description: The Leasing Manager is the community's representative whose primary duties are to professionally greet prospects and residents, present the features and benefits of their assigned community and properly secure lease agreements from qualified persons. A Leasing Manager is very service oriented and strives to make current residents feel welcome and comfortable in their apartment home. The Leasing Manager will be the sales expert and office administrator for the community. They will train and support the Leasing Associates to ensure all sales, retention and office procedures are followed and the performance is maximized to meet or exceed budget expectations. The Leasing Manager will contact the Community Manager or a person of authority, should any situation warrant an action or decision not included in his or her duties and responsibilities.

Duties and Responsibilities: Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, etc.

Administrative:

  • Prepare for the Community Manager to approve, monthly work schedule for Leasing Associates.
  • Assist and ensure the Leasing team schedules and coordinates resident renewal events.
  • Create move-in goal board and ensure the data is accurate on a daily basis.
  • Complete weekly occupancy forecast form every Monday morning.
  • Assist and ensure the Leasing team correctly completes all lease applications, assists with application verifications and notifies prospective residents of results.
  • Assist and ensure the Leasing team completes all lease paperwork (contract, addendums, riders, etc.)
  • Prepare miscellaneous communications. Assist and ensure the Leasing team reports any service needs by completing a service request in Onesite for maintenance team
  • Inventory office supplies on periodic basis. Report needs to Community Manager.
  • Assist and ensure the Leasing team organizes and files appropriate reports, leases and paperwork.
  • Attend scheduled company meetings and training seminars.
  • Assist with preparation of daily and weekly reports, communications, move-in and move-out inventory, market surveys, etc.
  • Assist Community Manager with Leasing Associates performance evaluations.

Leasing/Marketing:

  • Maintain a professional and friendly atmosphere at all times and ensure the Leasing team does so as well.
  • Assist and ensure the Leasing team inspects models and "market ready" apartment homes daily to ensure cleanliness and move-in ready conditions.
  • Create target list of apartment homes to lease, on a daily basis
  • Assist and ensure the Leasing team answers incoming phone calls in a professional manner, handling the customers apartment home needs.
  • Assist and ensure the Leasing team checks for computer leads every 30 minutes in an effort to communicate with the customer promptly and make an appointment to view the community and apartment homes.
  • Participate in the leasing process, showing apartment homes to prospects
  • Ensures the leasing team follows proper prospect follow up procedures and maintains a clean prospect pipeline
  • Assist and ensure proper greeting to all prospective residents, qualify prospect(s) and determine needs and preferences.
  • Assist and ensure the Leasing team presents the community and target apartments by demonstrating the features and benefits in an effort to close the sale.
  • Assist and ensure the Leasing team maintains awareness of local market conditions and trends. Contribute ideas to the Community Manager for marketing community and for improving resident satisfaction.
  • Assist and ensure the Leasing team inspects all marketing ads daily to ensure proper community data and photos.
  • Assist and ensure the Leasing team creates Craig’s List ads daily, following the JVM Craig’s List procedures.
  • Assist with inspecting the condition of move-in/move-outs.
  • Review and contact all notices to vacate to determine the cause of the move-out.
  • Initiate and implement policies/procedures to maintain resident communications.
  • Assist and ensure the Leasing team physically walks and inspects the Community on a daily basis and checks on vacant and target apartments
  • Update vacancy status on a daily basis and coordinate with service staff to ensure timely recondition of apartments after move-out.


Requirements of Position:

  • High school diploma or GED
  • Five (5) years of sales experience
  • Five (5) years property management experience
  • Four (4) years of customer service experience
  • Experience with posting rents, delinquency and preparing leasing and maintenance schedules and reports
  • Excellent written and verbal communication skills with a target phone appointment conversion ratio of 50%
  • Excellent leasing skills with a target closing conversion ratio of 25%
  • Email, word and property management software computer experience
  • Excellent organizational skills

Work Hours: Minimum 40 hours per week. A Leasing Manager is required to work a flexible work week, including weekends.

Driver’s License and Transportation: Must have a valid driver’s license and automobile insurance for personal vehicle transportation throughout the community to perform apartment home tours, inspections of apartment homes and community curb appeal inspections.

Certifications/Licenses: None

Supervisory Responsibility: When Community Manager I, II, III is unavailable

Supervise/train up to 3 Leasing Associates/Concierge.

ADA Physical Requirements of the Position:

Must be able to climb stairs and walk the Community grounds.
