The Warehouse Contract Administrator is responsible for the daily management of a segment of our 3PL (Third Party Logistics) warehouses within North America. This role requires responsibility and oversight for order management between SAP and our 3PL’s Warehouse Management system. This role is accountable for the inbound and outbound performance of the 3PL’s and has the oversight of the open order management process. Shipments will be moving via all modes of transport (Land, Air, Ocean, etc.) and this role will work directly with IFF’s 3PL Providers, Freight Forwarders, and Import Brokers to ensure all orders are moved in an accurately, timely, and cost-efficient manner. Must meet IFF compliance guidelines, US Export/Import regulations, customer and stock demand requirements. This position may also support logistics projects with a focus on process improvements.

Job Requirements

The essential functions of this position include, but are not limited to the following:

  • Inventory management, which includes ensuring internal SAP and 3PL warehouse WMS match and are reconciled by performing cycle counts and physical inventories.
  • Invoice verification and approval of 3PL warehouse. Key point of contact between other internal functions and the warehouse.
  • Responsible for timely resolution of complaints.
  • Runs monthly KPI process with the 3PL warehouse and internal logistics team.
  • Review daily Open Orders and Goods Issued Reports to ensure all orders are created within the required lead time.
  • Work in close collaboration with IFF 3PL providers/contracted carriers and ensure products are transported under conditions that fully meet all transportation requirements of food and pharma grade products; proper refrigeration, protect from freezing service, proper blocking and bracing, and proper handling of hazardous material, etc.
  • Be an active and accurate user of SAP; advanced understanding of sales and purchase orders management.
  • Monitor iDoc’s between SAP and the 3PL Warehouse Management System and troubleshoot as appropriate.
  • Fully adhere to company record retention policy by maintaining all shipping related documentation and correspondence in a designated and fully secured company site.
  • Take full ownership of all assigned domestic and/or export/import orders.
  • Work in close collaboration with our planning and warehousing groups to ensure shipments are processed as planned, and in a timely manner.
  • Cross train with other team members to ensure proper back up is in place.
  • Be able to identify process inefficiencies and drive improvements.
  • Proactively communicate with CSRs or Planning organization of any changes or relevant information pertaining to each individual order.

Job Requirements

  • Associates degree in business, supply chain, & logistics required, Bachelor's degree preferred.
  • Minimum of three years of logistics experience with advanced knowledge of warehousing operations and activities surrounding transportation management for all modes (Truck, Ocean, and Air).
  • Understanding of GMP (Good Manufacturing Practice) and Food and Pharma warehousing requirements.
  • Working knowledge in SAP and processes.
  • Ability to work independently and as part of a team.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Detail oriented and problem solving ability.
  • Demonstrated knowledge of Microsoft Office (Excel, Word, PowerPoint).

Job Type: Full-time

Pay: $75,000.00 - $90,000.00 per year
