The Mail Clerk is responsible for all duties related to preparing, collecting, identifying, and processing outgoing mail received in the FGH mailroom from various departments as well as the US Post Office. Responsible for the daily collection of PO Box 16745 and PO Box 17649, as well as the Bulk Mail Service from the 40th Avenue Post Office, including signing for certified mail. The Mail Clerk is responsible for the distribution of mail/packages/correspondence received from the U.S. Post Office.


Delivers mail to a select list of administrative departments twice daily. Processes/meters/labels mail in the most cost efficient/correct manner using the US postal regulations guidelines. Ensures mail is prepared and ready for pick up by DMS Mail Management daily at 2:00p.m. Provides monthly postage reports to the director using Pitney Bowes software. Ensures postal funds are available for first class, business reply, and permit accounts by reviewing reports, communication with US Postal Service, and communicating to the director when funds are needed.


Ensures supplies for the Pitney Bowes meter machine as well as mail/packaging needs are available for daily usage and notifies director when additional supplies are needed. Including but not limited to, meter tape, e-z seal, red ink, priority, express, and certified mailing materials.


Collects checks from Accounts Payable when required, makes photocopies for records, and delivers checks to post office and/or preps for priority mail delivery services, always ensuring process is complete.


Must maintain a valid driver’s license and be in good standing with driving record as an FGH vehicle is made available to you each morning for mail pick-up at US Post Office and during the day when there is business related to the mail room, such as deposits and priority mail services.


Additionally, the mail clerk assists with laminating projects and ensures supplies for the equipment is readily available.


Demonstrates knowledge and skills to appropriately communicate and interact with the patients, families, and visitors of all age groups while being sensitive to their cultural and religious beliefs.



Performance Expectations:


Accurately distributes internal and external mail to appropriate departments and/or individuals in a timely manner twice daily (AM/PM).

Processes overnight (priority) and express (1-3 day) mail/package requests, meeting deadlines for service and provides tracking receipts back to originating department.

Demonstrates proficiency with Pitney Bowes mailing equipment, to include production of monthly reports and ensuring adequate postal funds are available.

Demonstrates proficiency with weighing mail/packages to determine correct postage.

Demonstrates the ability to proficiently use Microsoft office.

Provides monthly postage reports, broken down by department usage by the 5th of each month.

Demonstrates awareness and understanding of postal regulations.

Demonstrates the ability to tolerate the physically demanding tasks of loading, unloading, and distribution of mail safely.

Maintains professional dress code and models excellent interpersonal communication with Executive Leadership and FGH team members.

Successful completion of FGH’s defensive driving class required.

Demonstrates the ability to proficiently utilize laminating equipment.

Demonstrates knowledge of department directory, location, and organizational structure.



Qualifications:


Education/Skills:

High school diploma or equivalent required

Proficient with Microsoft office required

Exceptional interpersonal communications skills

Excellent written and verbal communication

Well organized with sharp attention to detail



Work Experience:

Previous experience in mailroom operations preferred but on the job training is available.
