Position Summary: Occupancy Specialist is responsible for the certification process at the property and is required to know about all aspects of recertifications, program compliance, and resident relations. Responsibilities include but are not limited to processing and collecting resident information including 3rd party verification, determining eligibility for continued occupancy, leasing and showing apartment, processing potential resident applications, processing interim certifications as needed, ensuring proper calculation of income, assets and rent levels. Perform a full range of resident file reviews and regulatory reporting. Work is performed according to generally accepted standards and within policies included in state and federal law and administrative regulations.

Main Job Responsibilities:

  • Processes income certifications/recertifications for multiple affordable housing programs.
  • Processes monthly Section 8 Housing Assistance Payment Billing.
  • Greets applicants and provides instruction and guidance to prospective residents during application process.
  • Coordinates leasing to include intakes, interviews, processing and preparation of applications, and their distribution.
  • Coordinates and maintains waiting list.
  • Assists with rent collection efforts by mailing notices to delinquent residents.
  • Prepares lease packages and supplemental documents for new move-ins.
  • Conducts new resident orientation.
  • Special projects as assigned by property manager.
  • Fosters a positive, active and collaborative relationship with residents, communities and associated agencies.
  • Enforces and adheres to company policies, rules and regulations.
  • Works patiently, professionally and cooperatively with residents and staff to provide high quality customer service.
  • Ability to meet several deadlines and re-prioritize work as needed.
  • Preserves and respects resident and applicant confidentiality.

Required Education and Experience: (Describes the minimum education, training, knowledge and experience which are required to competently perform the job duties of this position)

  • Requires High School Diploma or GED with a minimum of 2 years related property management experience and familiarity with the recertification process
  • Extensive knowledge of property management software, OneSite experience a plus
  • Proficient with Microsoft Office Suite or related software
  • 2+ years’ experience in property management; EIV experience a plus
  • Knowledgeable with respect to affordable housing programs, federally-assisted, and all State and local housing regulations

Certificates/Licenses/Registrations: (if applicable)

  • C3P, TaCCs, SHCM, CPO, HCCP or other widely-known LIHTC compliance certifications a plus. With appropriate experience, Wingate will provide industry-required certification training;

  • Prolonged periods sitting at a desk and working on a computer
  • General office environment in which work is usually performed in a sitting position and may require stooping, kneeling, reaching, lifting, and carrying during the course of the work shift.
  • May be required to lift up to 20 lbs.
