Job description

Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities:

· Answer and direct all phone calls, and record and deliver detailed messages to appropriate departments.

· Organize show room, and keep it clean and presentable.

· Keep in contact with company vendors pertaining to office upkeep.

· Open and distribute mail and packages promptly to intended departments.

· Assist in the preparation of regularly scheduled reports and clerical duties (Thank You Letters, Tax Efficiency Docs, Installer Schedule, Availability Calendars, Sweepstakes, etc.)

*Fully understand company products, services, processes, standards and policies.

*Dedicated to providing superior customer service.

*Create daily reports to track installation progress, crew reporting, issues at installations, payment and inspection status. report to management at the end of the day.

*Ordering of products

· Willing to learn and master company specific databases (Enabled Plus and FileMaker)

· Develop and maintain a filing system

· Attention to detail while performing all data entry duties of the job.

· Maintain inventory logs and report tracking periodically.

· Maintain contact lists for utilities and office specific vendors.

· Provide general support to visitors by being aware and approachable when greeting, and be willing to demonstrate products and answer questions.

· Manage the flow of the office, and be a helping hand to all departments.

Qualifications and skills:

*Construction/Home Improvement background a plus!
