Position Overview:
The Office Manager is responsible for the coordination of all office operations, procedures and resources to facilitate administrative effectiveness and efficiency. This position must demonstrate strong managerial, supervisory skills, written, and verbal communication.
Job Description:

Responsibilities

  • Ensure office policies and procedures are being adhered to
  • Analyze and monitor internal processes
  • Organize orientation and training of new staff members regarding office policies, procedures and equipment
  • Implement procedural and policy changes to improve operational efficiency
  • Prepare operational reports and schedules to ensure efficiency and budgetary compliance
  • Edit or compose routine and advance correspondence or reports for senior management
  • Ability to effectively negotiate and understand all local supplier contracts
  • Ensure data is secure and confidential
  • Establish procedures and systems for filing, record keeping and monitor to ensure systems are current
  • Manage and approve office supply inventory
  • Work independently and with teams on special and recurring projects and office events/activities
  • Coordinated the implementation of office culture-related events/activities
  • Attend meetings, as requested, and take meeting notes
  • Handle internal and external customer inquiries and complaints
  • Assist in the management of the Office suite: space planning, space charts, and develop recommendations for suite improvements
  • Assign and monitor clerical, administrative and office coordination responsibilities among office staff
  • Assist with scheduling of meetings, travel and other activities for local leadership team
  • Prepare business expenses for reimbursement for local leadership team
  • Evaluate and manage staff performance
  • Cell phone administrator for Shared Services
  • Other duties as assigned

Education and/or Experience
  • High School Diploma required
  • Junior College or Vocational education preferred
  • 3-5 years of related office management experience preferred
  • College coursework involving accounting, data processing and administrative management preferred
Authority
The Office Manager derives his or her authority, and performs all duties with guidance, from the General Manager.

Work Environment/Job Conditions
This job may be performed in the office or on the jobsite and requires frequent sitting (often working on a computer), frequent walking, standing, bending, and reaching. Due to computer usage, there may be repetitive motions of the hands and wrists. He/she must comply with all Company safety requirements in the office and on the jobsite. This is a full-time position which requires in-office presence Monday-Friday.
