Job Description
TITLE: Operations Coordinator
BASIC FUNCTIONS: Manages the implementation of staff recruiting and training, staff scheduling, and overall administrative support
REPORTS TO: Director of Operations
JOB CLASSIFICATION: Exempt /Full-Time
REQUIREMENTS: Education: Bachelor’s Degree preferred
Experience: At least four years of experience in an administrative support role and knowledge of the service world for adults with developmental and intellectual disabilities.
Special skills and knowledge: Must possess an understanding of and commitment to the philosophy of integration, normalization, and individual-driven services. Demonstrates the ability to support the company’s values, goals, and objectives. Highly competent organizational skills and attention to detail; excellent oral/written communication skills, as well as interpersonal skills; good attitude, high energy, great team player; computer experience and proficiency using business software (MS Office, etc.) and the Internet required.

CORE RESPONSIBILITIES:
Responsibilities include, but are not limited to:
- Responsible for new employee initial training and ongoing support with the computerized scheduling system.
- Initial set up of individuals we serve and employees in the scheduling platform.
- Responsible for processing DSP leave requests.
- Compliance Tracking – monitor schedules for daily/weekly hourly compliance to avoid overtime and potential scheduling errors/issues.
- Professional communication with our scheduling platform support team when concerns arise.
- Manages the day-to-day use of the scheduling system including data quality into the system, reports, analytics out of the system, and the overall performance of the system.
- Identify ongoing solutions to scheduling issues that are raised from reviewing data in the scheduling platform.
- Anticipates unmet needs within the schedule so recruiting efforts can be effectively determined.
- Updates availability of DSP staff in the online scheduling system.
- Ensures scheduled hours are entered correctly by looking for inconsistencies and putting quality controls in place to ensure data accuracy.
- Responsible for maintaining schedules are consistently built out for three
(3) months.
- Manages compliance with required employee credentials.
- CPR certification (initial training to be completed after the 90-day introductory period

- Vehicle Registration
- Writes and revises Standard Operating Procedures (SOPs) as necessary to maintain compliance.14. Manages company safety policy, procedures, and compliance, including quarterly safety meetings and all staff meeting presentations.
- Focuses on accessing and outreach to community resources for training and recruiting opportunities.
- Coordinates and carries out Orientation presentations.
- Backup for scheduling as needed.
- Other related duties, as assigned
Physical Demands
While performing the responsibilities of the job, the employee is required to: a. Communicate with good verbal and listening skills. b. Often required to sit for long periods of time. c. Must be able to use hands and fingers to handle or feel. d. Occasionally required to stand, walk, and reach with arms and hands. e. Vision abilities required by this position, including close-related vision.

- Proof of Auto Insurance
- A minimum of four (4) years experience working in the field of human services is preferred and a minimum of two years in an administrative support role and knowledge of the service world for adults with developmental and intellectual disabilities.
