Bell’s Patuxent River Office Manager - Patuxent River position is an on-site full-time position located in our military business offices in Lexington Park, MD. The selected candidate will manage the Bell Pax River/Lexington Park office as well as perform analysis support tasks and other administrative activities for the Bell Military Sales & Strategy (MSS) organization. The primary focus of this position is to manage the overall operations of the office, serve as the Facility Security Officer and point of contact for visitors to Bell’s Patuxent River operations, provide support regarding office and conference room equipment, maintain the facility’s appearance, safety and security, assist managing Bell’s memberships and Brand in Southern Maryland, and to provide administrative and business process support to the MSS team.

Position Responsibilities:

Under direction from the Pax River MSS Senior Manager, be responsible for overall functioning and effective use of the Bell Patuxent River business office. Those responsibilities will specifically include:

  • Coordinate and schedule meetings/conferences at the Patuxent River office.
  • Coordinate DV and Bell Executive Leadership Team visits including lodging, transportation, security approval, chaperoning, and any other support activities determined by visitor requirements.
  • Provide analysis and functional support to all users of the Pax River offices, to include NAVAIR FMS teams.
  • Administrative and logistic support for conferences/meetings, ensuring usage prioritization is in accordance with usage procedures. Assist with live-edit of documents during collaborative meetings.
  • Draft and submit the Pax River operating and sponsorship budgets under direction from the Bell Pax River MSS Senior Manager. Track and oversee the execution of the annual Bell Patuxent River office budget. Work with MSS Directors and other Textron business units to track and process vendor payments.
  • Manage and/or maintain Bell memberships, sponsorships, local organizational relationships, Brand engagement, and participate/coordinate participation in local organizational events, which support the MSS mission.
  • Facilitate site safety/security for Bell engineers that work in the Patuxent River area in support of NAVAIR V-22 and H-1 test and evaluation activities.
  • Coordinate security visit requests for Bell Patuxent River personnel, and coordinate NAS Patuxent River base access for all required Bell employees.
  • Continually monitor MSS and the Pax River offices operating procedures and make recommendations for improvement.
  • Be responsible for providing support in the improvement of business processes and analysis of customer requirements to assist in the development of solutions to business issues.
  • Communicate and maintain NAVAIR contact information along with assisting and promoting business development initiatives in coordination with Textron D.C. office and as assigned by the Pax River MSS Senior Manager.
  • Support project timelines and report progress toward MSS business objectives as set by the Pax River MSS Senior Manager. Make recommendations for solutions to better achieve MSS objectives.
  • Assist in the coordination of internal and external resources (e.g. NAVAIR program offices and Security Cooperation office) to support the analysis of customer mission and technical requirements that lead to the development of product solutions.
  • Work closely with the Pax River MSS Senior Manager to support specific domestic and Foreign Military Sales program activities as part of a functional planning team.
  • Plan, coordinate and supervise contractors (maintenance, repair, housekeeping, facilities upgrade, additional space, etc.)
  • Establish and enhance relationships with key NAVAIR personnel aligned with MSS objectives.
  • Determine appropriate alternate meeting space arrangements when Pax River office is at capacity.
  • Provide support to foreign delegations.
  • Organize Bell-themed merchandise donations for US Government program offices and industry non-profits events.
  • Keep up with industry relevant charitable organizations and programs in the Pax River area. Establish relationships, and support events. Research sponsorship opportunities. Check non-profit organization status. Conduct financial analysis of charitable organizations and recommend relevant pre-vetted programs and events to Pax River MSS Senior Manager. Draft, submit, and track compliance requests for sponsorship opportunities.
  • Coordinate, set-up, man, and break down booth and branding at local sponsored programs and events.
  • As required in the absence of the Pax River MSS Senior Manager, represent Bell at Chamber of Commerce and members events, The Patuxent Partnership, Patuxent River Naval Air Museum, Historic Sotterley, St. Mary’s College of Maryland, MCAA John Glenn Squadron, and Foreign Area Officer’s Association.
  • Complete work necessary to certify and maintain certification of the secure conference room as a Secret NOFORN SCIF (Sensitive Compartmented Information Facility) to accommodate classified briefings, discussions and telecons.
  • Maintain a Facility Security Officer designation and manage the usage and compliance of the Pax River office Secure Room and procedures. Participate in weekly security briefings with HQ Security Team.
  • Coordinate, schedule and support WebEx, Skype, VTC, and other teleconferences; manage catering for meetings upon request. Will be the on-site POC for technical operation/troubleshooting of Pax River facility A/V, Data, and Telecom equipment and services.
  • Manage domestic payments on behalf of MSS; and develop expense reports for charges directly involving operating the Pax River office.

Education Requirements:

  • Associates Degree in Business, Aviation or related field, or equivalent professional experience.

Position Requirements:

  • 2+ years of experience in a customer and business-oriented position.
  • Active Security Clearance.
  • Ability to obtain FSO certification.
  • Ability to gain access to Naval Air Station Patuxent River.
  • Experience supporting and communicating with internal/external customers.
  • Shown oral and written interpersonal skills.
  • Ability to communicate effectively and work together with team members to meet project requirements.
  • Extremely proficient with MS Office Suite and detail oriented.
  • Ability to work with minimal supervision to support conferences and visitors.
  • Proactive and a self-starter.
  • Ability to maintain confidentiality, exercise good judgment, utilize discretion and demonstrate integrity.

Preferred Qualifications:

  • Current FSO certification.
  • Providing a writing sample is encouraged as well as an example of a power point presentation.
  • Aerospace support experience or prior U.S. government administrative support experience.
  • Experience supporting and communicating with international customers.
