Job Summary
The Production Coordinator is responsible for supporting the successful fulfillment of project requests. This person works most closely with the Creative and Brand teams to ensure accurate and timely delivery of all project elements to fulfill branded promotional product and general creative project requests. This includes, but is not limited to, sourcing, quoting, ordering, monitoring, and delivering branded promotional items, owning the internal creative routing process, working with vendors to bring creative projects to fruition, assisting with quality control and delivering final pieces to project requestors. This role is responsible for providing a wide range of team support, anticipating challenges, and ensuring deadlines and deliverables are met as directed by the Project Manager.
Essential Job Duties
- Responsible for successful fulfillment of requests for branded promotional products to include but not limited to:
- Initial request review
- Meet with Project Manager and project requestor to understand goals, and make recommendations for achieving a high standard of success
- Coordinates the entire vendor process to include sourcing, quoting and fielding all communications
- Ensure quality control over end product for successful deployment
- Maintain and improve promotional catalogs
- Manage and place orders to maintain inventory

Support the general project fulfillment process to include but not limited to:
- Maintain regular status updates to ensure project stakeholders have access to up-to-date information
- Oversee different tasks, as charged by the Project Manager, in the quest of completing a project
- Responsible for the project routing process, obtaining all approvals throughout a project lifecycle for project production
- Work directly with Creative and Brand team members to ensure production instructions are clear
- Maintain database of material samples then route and obtain final material approvals for production
- Obtain production estimates and route for budget approval
- Work with vendors to produce proofs and follow project sign-off procedures, including routing and obtaining approvals on proofs, production samples and mock-ups before proceeding with final production
- Accept or reject deliveries based on brand standards and deliver final products to project requestors
- Schedule and monitor on-site creative installations
- Support the project management team with launch and trafficking functions for digital and printed ads
- Receive and code creative production invoices

Consistently communicate with Project Manager regarding project status and challenges
- Maintain print-vendor portal and fulfill portal requests
- May perform other duties as required
Knowledge and Skill Requirements
- Experience with merchandising or branded promotional products is required
- Proficiency in Microsoft Office products including Word, Excel, Outlook, etc. is required
- Detail-oriented individual who will focus on execution that maximizes opportunity for success on behalf of the CRVA and its clients
- Ability to assist with multiple projects in a fast-paced, deadline driven environment
- Ability to demonstrated strong organizational skills
- Ability to demonstrate strong communication skills and business etiquette
- Ability to work independently and proactively manage workloads and timelines simultaneously
- Experience dealing with multiple vendors
- Self-motivated team player with a positive outlook
- Experience with commercial printing process for materials and signage preferred
- Knowledge of Adobe Creative Suite is preferred
- Process-driven and detail-oriented self-starter who is passionate about organization
- Ability to anticipate and troubleshoot problems
- Must be able to anticipate customer needs, build positive relationships, go the extra mile to satisfy and exceed customer needs, treat all customers and vendors with the highest degree of respect and courtesy and deliver exceptional service
Education and Experience
- Bachelor's degree (B. A.) from a four-year college or university and 3-4 years related experience and/or training; or equivalent combination of education and experience
- Demonstrated track record of attention to detail, high level of organization and ability to deliver on a deadline
Physical Demands
- The employee must regularly lift and/or move up to 40 pounds.
- Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to stand and walk.
Travel Required
- Ability to work flexible hours including evenings, weekends and holidays
