Job description
Answers telephone and greets office visitors, including determining purpose of call/visit, responding to inquiries, researching general case information on computer or in files, mailing documents as requested, and/or directing to appropriate courtroom/individual/department.
Performs various clerical functions as assigned or as needed, file stamping/sorting/distributing mail, preparing and distributing pauper counsel paperwork, e-mailing requests for warrants and file stamping pro se pleadings.
Assists other department personnel as assigned or as needed, such as replacing completed case files, scheduling hearings, and preparing for night court by printing slate, matching tickets with slate, checking driving records for diversion program eligibility, and attaching forms.
Periodically performs some of the duties of Scheduling Clerk, Bailiff, Court Reporter, and File Clerk in their absence as needed.
Processing 41E Civil cases.
Periodically serves as night court dispositions clerk, noting disposition of each case.
Works Receptionist queue and other queues as necessary.
Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:
High school diploma or GED.
Working knowledge of standard office and court policies, procedures and related terminology, and ability to apply such knowledge to a variety of interrelated tasks.
Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, fax machine and copier.
Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to work on several tasks at the same time, and complete assignments effectively amidst frequent distractions and interruptions.
Ability to understand and follow written and oral instructions/directions, and appropriately respond to constructive criticism.
Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to work alone and with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers.
Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.
Ability to occasionally work extended and/or evening hours.
II. RESPONSIBILITY:
Incumbent performs standard, recurring duties according to well-established department policies and procedures. Incumbent sets work assignments, objectives and priorities with supervisor. Errors in incumbent's work are usually prevented through procedural safeguards and are detected through supervisory review and/or notification from other departments, agencies or the public. Undetected errors may result in loss of time for correction and/or work delays in other departments/agencies.
III. PERSONAL WORK RELATIONSHIPS:
Incumbent maintains frequent contact with co-workers, other County departments, attorneys and the public for the purpose of exchanging information.
Incumbent reports directly to Office Administrator.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:
Incumbent performs duties in a standard office environment involving sitting and walking at will, hearing communication, and speaking clearly. Incumbent occasionally works extended and/or evening hours.
