DEA’s Corporate Office in Portland, OR is hiring for a Receptionist/Human Resources Assistant who will play a critical role in creating an enjoyable experience for our clients and community and an exceptional work experience for our staff.
We need someone who can hit the ground running to provide top notch service and assistance, both in person and on the phone, for members of the public and media to important clients and everyone in between.
We are looking for a person who is eager to grow their Human Resources experience through supporting a wide range of activities happening throughout our busy HR team.
Job duties may include:
- Reception:
- Answering and directing calls on a multi-line phone system
- Greeting and assisting visitors to the Portland office
- Assisting with mail, filing and other support services functions
- Preparing, composing, and maintaining letters, documents, and spreadsheets using Microsoft Office applications
- Setting up conference rooms, including setting up and taking down equipment for in-person and videoconference meetings
- Human Resources:
- Onboarding Coordinator – organizing and creating a smooth experience for new staff across the company, ensuring that each step in the process is completed
- DEA University Coordinator – assisting with course coordination, updating the catalog of course offerings, creating training videos and posting to SharePoint site
- Executive Assistant to VP of HR – providing support with calendar, research, and special projects
- SharePoint Administrator for HR – organizing and presenting information for employees that is clear, accessible, and most useful
- Data and Administration – completing a wide variety of tasks that keep the organization humming, such as employee referral awards, motor vehicle records checks, collecting and reporting data, data entry into the HR Information System, preparing and distributing forms, preparation of benefits invoices for payment, maintaining employee files
- Research and Special Projects – provide administrative support for a wide variety of special initiatives, such as a 360-degree feedback pilot test, a research project to peer benchmark benefit programs, or implementing an electronic employee filing system
Basic Qualifications:
- Commitment to a work schedule of 8:30am-5:30pm, M-F
- 1-2+ years as an administrative assistant or customer service role
- Experience answering a multi phone line system and routing calls
- Strong Microsoft Office skills
- Ability to learn new technologies (position will use Microsoft SharePoint, ADP)
- College degree will be helpful to facilitate continued growth into HR field
