Conifer Realty is seeking self-motivated Receptionist/Office Assistant who is responsible for relaying incoming telephone calls, greeting visitors in a professional manner and performing administrative, clerical duties to provide administrative and organizational overflow support for the Rochester Resource Center offices and various departments/teams that may include Executive leadership, Property Management, Accounting, Development, Marketing, and others when needed.
CANDIDATES’ EXPERIENCE AND SKILLS will include:
- Minimum 2 years Receptionist/Office Assistant experience, preferably with prior strong customer service experience.
- Prior experience in a front desk role desired or willing to train.
- Strong written and verbal communication skills.
- Strong multi-tasking, time management, and organizational skills needed.
- Prior accurate data entry inputting needed with excellent proofreading skills.
- Proficient in MSOffice skills (Word, Excel, Outlook); coordinating calendars desired.
- Math Aptitude – good with numbers; strives for accuracy.
- Able to work independently as well as support a team when needed.
- Must like to be busy with varied tasks throughout the day.
- Prior front-desk reception experience desired.
- Must be self-motivated, willing to meet deadlines.
- Flexible, adaptable to changing work tasks, priorities as needed.
- Excellent attendance – reliable/dependable.
- Reliable transportation with valid driver’s license and auto insurance policy required for occasional trips to Post Office, other office errands for meeting items, etc. as needed.
RESPONSIBILITIES WILL INCLUDE but not be limited to:
- Answer multi-line telephone system, take accurate messages, screen and direct telephone calls for corporate office in a professional manner.
- Greet and screen incoming visitors in a professional manner and promptly notify appropriate person of visitor’s arrival.
- Receive and sign for packages; notify employee to pick-up before end of day. Store safely until picked-up.
- Operate standard office equipment including multi-line telephone system, facsimile machine, photocopy machine, postage meter, calculator and computer/printer, scanner.
- Compose, prepare, and proofread correspondence, office memos and reports on computer and maintain confidentiality when required.
- Assist with data entry processing at teams’ request; proofread all entries for 100% accuracy.
- Scanning & filing Cash Receipt’s/Check Deposit’s. Boxing & storing files.
- Manage RRC parking spaces, visitor key fobs, master keys for server & stock rooms.
- Maintain files in an organized and accessible manner to include updating information, scanning cash receipts and other key documents, filing, purging files on a regular basis, and creating new filing systems as needed.
- Maintain, organize workspaces, and work rooms daily (reception area, Gold Standard Conference Room, Kitchen break room, work rooms, etc.).
- Manage battery supplies for IT equipment.
- Maintain, inventory and stock supplies for kitchen supplies and the stockroom office supplies, so items can immediately be replenished without running out.
- Ensure Executive leadership team has office supplies needed including water supply.
- Provide administrative support for special projects and overflow coverage to corporate teams and administrative assistants as requested.
- Order/purchase Conifer letterhead, envelopes, office supplies
- Manage daily outgoing mail, including overnight services, and delivery to Post Office, or offsite mailbox as needed.
- Able to handle confidentiality of visitors, Conifer matters as required.
