About the Role

The Release of Information Specialist supports secure and authorized exchange of protected health information at Charlie Health. This role will be responsible for ensuring Charlie Health complies with all state and federal privacy laws while providing access to care documentation.

Responsibilities

  • Serve as the dedicated point of contact for all Release of Information processes.
  • Monitor, assign, and aggregate activity from emails, ROI calls, in-bound fax requests, postal mail, and internal requests via chat platforms
  • Recommend, develop, and implement policies and procedures to ensure timely and accurate releases.
  • Monitor and ensure adherence to established guidelines, rules, and regulations.
  • Apply active listening, and patience to sensitive customer service situations.
  • Maintain accurate requests for information logs and accounting of disclosures logs.
  • Support compliance with the HIPAA privacy law and state privacy laws.
  • Organize the team's time effectively, set priorities to avoid overtime.
  • Create baseline competencies with annual updates.
  • Develop education and training to build a knowledgeable workforce.
  • Analyze and provide accurate data for monthly KPIs with plans for improvement if needed.
  • Complete evaluations and set goals for direct reports.
  • Communicates feedback, new ideas, fluctuating volumes, difficulties, or concerns to the HIM Director.
  • Participates in assigned committees to advance operations, initiatives, and performance improvement.
  • Adhere to all company policies and procedures and update the team with changes.
  • Assists with other duties or responsibilities as evident or required.

Qualifications

  • Associates Degree required or equivalent in release of information experience.
  • 2 years experience in mental health medical records department, or related fields.
  • Experience in a healthcare setting is required.
  • Experienced use of email, phones, fax, copiers, MS office, and other business applications.
  • Ability to prioritize multiple tasks and respond to requests in a fast-paced environment.
  • Ability to maintain strict confidentiality.
  • Extreme attention to detail as it relates to accurate information for medical records.
  • Professional verbal and written communication skills in the English language.
  • Ability to be flexible, understanding, and celebrate unique contributions of a talented and growing team with diverse experiences.
