SENIOR ADMINISTRATIVE ASSISTANT, McGovern Institute for Brain Research-Feng Lab, to provide comprehensive administrative support to a principal investigator (PI) with teaching responsibilities and active research groups. Will serve as administrative liaison for the lab; assist with the preparation and organization of materials for managing administration and finance; compose and edit correspondence/documents; schedule diverse and complex meetings; research and gather information for complex projects; plan and coordinate lab events, prepare complex itineraries, including travel arrangements, meeting schedules, reserving space, scheduling presenters, ordering refreshments, preparing materials, and advertising; respond to complex finance inquiries, assist with budget management activities and collaborate with departmental finance officers and lab manager to ensure timely budget information communication; and database management.
Job Requirements
REQUIRED: high school diploma or its equivalent; five years’ office/administrative experience; strong interpersonal, organizational, time-management, and written and verbal communication skills; comfort with both telephone and in-person contacts; support for MIT’s commitment to diversity and serving diverse constituents; initiative and ability to anticipate consequences of actions, potential problems, or opportunities for change; meticulous attention to detail; and tact, good judgment, and discretion with confidential information. Must be able to handle multiple tasks simultaneously; prepare minutes and short documents; perform word processing, database, and accounting functions; remain flexible and demonstrate independent judgment and good decision-making when considering a course of action for a wide variety of matters and during unexpected situations; manage a high volume of work; identify and quickly learn new applications as necessary; and move weights of up to 25 lbs. PREFERRED: bachelor’s degree; MIT experience or experience in higher education; and proficiency with Google Docs, Google Calendar, Adobe Acrobat, and web publishing. Job #22738-6
