Job description
The Capital Area Division (CAD) of Applied Research Associates, Inc. (ARA) is seeking a Senior Executive Administrative Assistant to support the Office of the Undersecretary of Defense for Research & Engineering (OUSD(R&E)) in the investment and monitoring of R&D funds. This position is onsite at a Government location(s) in the National Capital Region (and telecommuting where approved). The candidate demonstrates mature judgement required to interface with senior Government personnel and external stakeholders including other Government agencies, academia, and industry. The Senior Executive Administrative Assistant will be responsible for providing professional workflow and administrative and security support for senior management staff.
This position requires a candidate with experience performing a variety of administrative functions including
- Having strong written and verbal communications skills and excellent time management skills
- Providing administrative support to an office of 20-40 people
- Maintenance and monitoring of actions assigned in the DoD Correspondence and Task Management System (CATMS)
- Handling, preparing, and staffing unclassified and classified executive correspondence including letters, memoranda, schedules, presentations, and reports
- Recording and maintaining action items and other pertinent information when required
- Coordinating appointments, meetings, and managing staff calendars
- Arranging domestic and international travel and schedules and preparing travel vouchers and periodic reports
- Performing security functions and duties consistent with DoD Directives, WHS Instructions, and Executive Order(s)
- Assist with JWICS account management and advise project management on security and regulations
Required Qualifications:
- High school degree
- 8-10 years of relevant experience
- US citizen
- Active TS clearance with SCI eligibility
- Proficiency with MS Office Suite
- Experience using the Correspondence and Task Management System (CATMS) and the Defense Travel System (DTS)
Desired Qualifications:
- BS/BA degree
- Ten (10) years or more relevant experience
- Experience supporting the Office of the Secretary of Defense
- Experience supporting or working with the Defense Research & Engineering community
This position is contingent upon award of a contract expected in early 2023 supporting the Department of Defense.
