Position Description: Staff Coordinator FSLA Classification: Non- Exempt Reports To: Area Supervisor Created: October 2, 2017 Revised: March 24, 2022 Job Summary This position is responsible for ensuring that required training is conducted and documented, staffing needs for homes is met, and assistance is given with administrative duties as needed. Essential Job Functions
  • Ensure appropriate staff is available for homes as required.
  • Take calls as required from staff concerning scheduling.
  • Use required software program(s) to maintain schedules and make changes as necessary.
  • Interviewing and helping staff through the hiring process
    • Work with appropriate staff to ensure accuracy of all records regarding schedules, time records, and billing reports and make corrections as necessary.
  • Create and compare appropriate reports regarding staffing, attendance, etc. From software program(s) and provide feedback to the appropriate Program staff.
  • Update Executive Director and appropriate manager(s) regarding staffing issues.
  • Have available a list of PRN staff trained and available to work.
  • Assist manager(s) and other staff with shift coverage should need arise.
  • Ensure that training courses both Evergreen specific and state specific are available, conducted and documented in the appropriate manner.
  • Schedule the appropriate trainers for all training required. Conduct training directly if needed.
  • Enter and maintain training in appropriate software system.
  • Ensure all people served are free from abuse and neglect and represent Evergreen for any and all State required reporting and documentation of incidents.
  • Assist with orientation process for new employees
  • Abide by all policies, procedures, regulations, and guidelines for safety, quality assurance, and general corporate oversight.
  • Assist with administrative duties for the Division as required (i.e. HR, Finance, Maintenance, etc.).

Qualifications/Experience/Job Knowledge
  • High school diploma and at least one (1) year of experience in administrative duties including staffing and training.
  • Bachelor’s degree preferred.
  • Combination of education and experience will be considered.
  • Basic knowledge of state and federal guidelines governing Evergreen programs.

Physical Requirements
  • Occasionally travels
  • Constantly moves about to coordinate work
  • Regularly works in fast pace environment with multiple task deadlines
  • Regularly moves and positions objects weighing up to 50 pounds
  • Occasionally exposed to viruses and infectious conditions
  • Constantly alert and observant during working hours

  • Must be able to work without close personal supervision
Employment Variables Must have a good driving record that meets the minimum requirements for Evergreen and reliable transportation. Must pass a drug screen and criminal background check. Must be able to work evenings, weekends, and holidays when required. Working Environment General work environment.
