Eastridge Workforce Solutions is hiring a temporary Administrative Assistant for a biotechnology company. Our San Diego, CA, client is a leader in early detection devices. This opportunity offers a Monday-Friday, 8 AM–5 PM schedule. For immediate consideration, apply today.

Responsibilities

  • Greets visitors, including, but not limited to, guests, interview candidates, and vendors. Contacts the appropriate employee to notify them the visitor’s arrived.
  • Plans, coordinates, and schedules onsite/offsite meetings, virtual and in-person meetings for the departments supported, including internal and external individuals, and interview candidates, as well as company sponsored lunch and learns, and other meetings as requested from time to time.
  • Supports conference attendance by booking travel and other coordination for attendees, including speaking engagement logistics and booth registration are completed.
  • Supports the contracts and legal function by routing the approved documents for signatures and ensuring the final versions are routed and saved in the appropriate locations. Travel coordination support for internal team members and interview candidates as requested.
  • Maintains inventory list of office supply and breakroom snacks, working with the appropriate purchasing process to ensures inventory is adequately maintained.
  • Responds to incoming messages for the main phone line.
  • Supports department executives in processing expense reports and purchasing when required.
  • Performs various other administrative projects ranging in complexity, that require accuracy and organization, in addition to computer skills and the ability to prioritize work.
  • Back up to other administrative staff.
  • Works on complex issues where analysis of situations or data requires an in-depth evaluation.Exercises judgment in selecting methods, techniques, and evaluation criteria for obtaining results.Networks with key contacts outside own area of expertise.
  • Determines methods and procedures on new assignments and may coordinate activities of other colleagues with limited supervision.
  • Responsible for compliance with quality procedures and all regulatory requirements.
  • Consistently exhibit respect and build trust through openness, collaboration, and support of one another.

Experience, education and skills required

  • Minimum of 6+ years of related hands-on experience and Bachelor's degree or professional certification in a related discipline, or equivalent combination of education and experience
  • Intermediate to advance skills in MS Office Suite (Word, Excel, PowerPoint, Outlook) and successful experience utilizing the programs in a related manner.
  • Experience working in an administrative capacity supporting senior level managers and multiple departments.
  • Demonstrated ability to multi-task and work in a fast-paced environment, managing competing priorities, while maintaining composure.
