Job Summary

The Vice President of Patient Access will oversee every aspect of patient access, including Capacity Management, Access (Contact) Center(s), Referral Management and partnerships with stakeholders across the enterprise to create and sustain programs enhancing access to care. This individual will work closely with the Clinical and Administrative Leaders to ensure optimal patient access strategies are developed, implemented, and sustained to support seamless patient service across the care continuum. The Vice President is charged to lead access-focused initiatives that create and support exceptional access and service for patients and referring providers, faculty and employee satisfaction, growth and volume management, technology advancement, and strong financial performance with superior efficiency and productivity. While the primary focus is with the medical group, the individual will partner with, and support, health system leadership on system-wide patient access strategies, to include full engagement with Population Health/CIN, Joint Ventures and other aligned providers and provider organizations as needed.

Essential Functions

  • Develop Access (Contact) Centers focused around service lines. Oversees all operations of patient access services including Scheduling, Referral Management, and Preregistration.
  • Develop standard work flows for patient communication to deliver best-in-class patient support using data to increase efficiency and effectiveness of Access (Contact) Centers
  • Implement Key Performance Indicators (KPIs) around Access (Contact) Center experience.
  • Become a nationally certified Access (Contact) Center
  • Partners with administrative and clinical leadership to ensure that effective processes are implemented to continually enhance patient experience.
  • Collaborates with IT in the design, adoption, and optimization of access-related tools and technology, such as: Epic integration/optimization, omni-channel interaction, AI/speech analytics, knowledge management and workforce management platforms. Leverage technology to improve efficiency, effectiveness, and outcomes of the patient experience in an Access (Contact) Center Monitor system effectiveness, performance and resolve problems regarding applications; set strategy for implementation of system changes and updates.
  • Focus on evaluating and executing the building and scaling of Access (Contact) Centers as well as developing a strategy to support a remote Access (Contact) Center workforce.
  • Provide strong, dynamic leadership that mentors, develops, and guides team members to efficiently leverage the value of every patient interaction.
  • Coordinate analytic, strategic and technical resources to meet patient expectations and ensure satisfaction.
  • Identifies and leads initiatives that help standardize operational policies, procedures, and workflows.
  • Gain economies of scale by leveraging a larger pool of cross-trained employees decreasing redundant operations, eliminating inefficient processes, and aligning patient outreach more appropriately with the employees skillset.
  • Implement standard telephony software and hardware across the combined medical group
  • Use effective negotiation skills in managing service contracts and equipment purchasing.
  • Demonstrate innovative approach to problem resolution. Work collaboratively with different disciplines across system, specifically, to include Revenue Cycle, towards the best-in-class performance.
  • Ensure compliance with regulatory standards.

Job Requirements

  • Master s degree in Business, Healthcare Administration or related field.
  • Seven to ten years progressive managerial experience in Medical practice management or other applicable environment required.
  • Preferred experience in leading a patient access center.
  • Preferred experience in an academic medical and/or a large integrated hospital system.
  • Strong interpersonal skills necessary in order develop and maintain collaborative relationships with staff and physicians.
  • Management skills necessary to attract and maintain a highly effective and motivated staff.
  • Proven ability to work independently to produce accurate work of the highest quality.
  • Strong project management skills in managing multiple projects.
  • Preferred experience working with Epic.
  • Excellent written and verbal communication skills with proven ability to communicate with individuals at various levels within the organization and with external stakeholders.
  • Proficient computer skills to include Microsoft Office (Word, Excel, and PowerPoint).
