Work Flow Manager
Provide Advisory & Assistance Services (A&AS) to support the 9AF (AFCENT) A4 installation Shaw AFB with Temporary Duty Assignments in worldwide location where AFCENT does business.
Duties and Responsibilities
Reviews, and tasks appropriate A4 divisions through workflow software, emails, or even hard copy to provide on time responses or coordinate with outside agencies on directorate assigned or generated tasks. This is performed daily on both SIPR and NIPR platforms.
Compiles, formats, and checks quality of recurring information updates for meetings, VTCs, and reports.
Provides printouts of presentations as required. Maintains organizational email account(s) and archival file structures.
Checks the account(s) daily for incoming emails and then distributes to the correct action agency or takes action directly as necessary.
Monitors the RFI systems and coordinates with agencies in response to RFIs to ensure all timelines are met.
Manages office communications. Answers all incoming phone calls or other message formats and takes appropriate action or notifies the correct office of the tasks.
Coordinates all daily functions of the 9 AF (AFCENT) TMT for the A4 Staff at both Shaw AFB and downrange locations.
Monitor all inputs and output functions to include validating with the A4 Director all incoming tasks mails from external agencies. Processes, including inputs and output functions, internally generated tasks.
Processes tasks, both internally and externally generated, will include building the tasks, establishing the lead, and coordinating offices, coordinating the staff processes and responses, and managing the timelines to ensure all suspense’s are met.
Provides quality control checks for all tasks responses and ensures associated documentation is correctly labeled and loaded in the system.
Ensures the tasks are correctly closed and the tasks agency is notified of the results of the tasks request.
Provides tasks management training to the 9 AF (AFCENT) A4 staff as required. Maintains training courseware, templates, and TMT guidance to ensure standardized coordination by the staff.
Qualifications
- Minimum of two (2) years’ experience in the use of Microsoft Office applications/e-mail systems or the equivalent.
Minimum of three (3) years’ experience working tasker management system at a component staff or higher.
Must have experience and working knowledge of the following programs and systems within the last three (3) years: Microsoft Office (Word, PowerPoint, Excel, and Access), SIPR Access
Must have a Secret Security Clearance
