KIPP NYC Public Schools is a non-profit network of free, public charter schools that prepares students for success in college and life. In 1995 we started our first middle school, KIPP Academy, in The Bronx. Our goal was to graduate students with the strength of character and academic abilities needed to succeed in high school, college and beyond – and in so doing, to prove what is possible for all students. Today, our New York City network is comprised of eight elementary schools, nine middle schools, one high school, and KIPP Forward, a comprehensive support program for our alumni. About KIPP Forward Postsecondary Success Collaborative

KIPP Forward works with graduates of KIPP, Achievement First, and a growing number of other select high school-serving organizations, to empower them for success in college and their careers. Our Theory of Impact was formulated utilizing a design thinking approach with our alumni, as well as research of the most effective Comprehensive Approach to Student Success (CASS) and career readiness programs. Utilizing breakthrough college and career strategies, we aim to help our alumni persist in and graduate from college and CTE programs, and upon completion, transition to strong first jobs.

Job Description

Position Overview

The Operations Manager is a detail-oriented, organized, and efficient individual that has excellent project management skills and who is committed to improving the day-to-day operations of the KIPP Forward Postsecondary Success Collaborative. The Operations Manager plays a critical role in supporting our team to effectively manage key operating systems and processes that support our team in achieving our goals. In addition, the Operations Manager continuously assesses and evaluates said systems and processes to update, improve upon, or create new ones in order to support our team’s growth. This role also manages and oversees our Marketing and Communications Associate, who is responsible for alumni and staff communications and marketing initiatives by providing guidance and strategic planning support. The Operations Manager reports directly to the Director of Strategic Initiatives (DOS).


Duties and Responsibilities

Daily Operational Management and Staff Support (40%):

  • Work with the Director of Strategic Initiatives and other Senior Leaders to support with special projects/initiatives by aiding in the development of operating systems, processes, and policies that maximize the efficiency of the KIPP Forward Postsecondary Success Collaborative
  • Establish and maintain successful relationships with all members of the KIPP Forward community to better understand operational needs
  • Manage the KIPP Forward’s team calendar by ensuring that it is up to date with all team meetings and events
  • Support KIPP Forward leaders with the creation of Weekly Team Notes in an effort to provide important updates, build community, and share program/event highlights
  • Support team leaders with the maintenance and organization of our electronic file system on Google Drive
  • Work with KIPP Forward’s leaders to successfully plan for and onboard new team members (e.g. securing technology, access to key systems/software, ordering welcome SWAG, updating email list serves)
  • Oversee the ordering and purchasing of supplies and materials as needed
  • Manage organizational subscriptions such as Calendly, Seamless, Amazon, etc.
  • Support the DOS with the creation of special materials needed for external partners

Team Management (30%):

  • Manage the Marketing and Communication Associate by providing guidance and strategic support through weekly check-ins, team meetings, and professional development
  • Provide guidance and support to the Marketing and Communications Associate on on all marketing and communications projects (e.g. annual alumni emails, social media campaigns)
  • In partnership with the DOS, develop an operations team mission with clear goals and progress monitoring cycles
  • Develop quarterly work plans to better anticipate team needs and plan accordingly to drive results
  • Continuously learn and research new systems that can support team efficiency and impact

Financial Management (15%):

  • Collaborate with KIPP’s regional finance team to ensure that KIPP Forward has clear systems and processes to handle and maintain finances (e.g. Ramp, Sage Intacct)
  • Support KIPP Forward team members in handling and resolving any financial issues
  • Manage check requests from various vendors and contractual employees and provide timely updates on process to all stakeholders
  • Oversee the alumni incentives budget and manage the disbursements of incentives throughout the year for the various teams (e.g. tango gift cards for survey/transcript submissions, career program participation)
  • Support Senior Leaders with the management of the alumni emergency funds

Community Building and Event Planning (15%):

  • Support our KIPP Forward leaders with the execution of professional development sessions (e.g. Summer training)
  • Support with the planning and execution of signature alumni events (e.g. Senior Send Off, Career Coach meet and greet, Next UP Alumni Career Summit)
  • Lead the planning of our team’s yearly Midyear Stepback (January) and End of Year Stepback (June).
  • Lead the planning and execution of our annual Holiday Celebration
  • Support team members with travel logistics as needed (e.g. book flights/hotels and submit registration for special events/PDs)
  • Manage staff incentives throughout the year (e.g. Birthdays, Staff Appreciation, Holiday Gift, Valentine’s day treat)

Qualifications

  • At least five years of experience working in Operations
  • At least two years of direct management experience (individual or team)
  • Bachelor’s Degree from an accredited four-year educational institution, Master’s Degree preferred
  • Strong alignment with and commitment to KIPP Forward’s program model and goals
  • Strong time-management skills
  • Demonstrated ability to meet ambitious goals within deadlines
  • Outstanding written and oral communication skills
  • Ability to work with a sense of urgency and under pressure
  • Strong computer skills, including high level of proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Ability to collaborate and build relationships within and across teams
  • Growth-mindset and desire to receive regular coaching and adjusting feedback in order to grow
  • Flexibility, determination and an entrepreneurial spirit to accommodate joining a growing and constantly improving organization
  • Commitment to exploring issues of race, class, and privilege, both individually and alongside others.
  • Willingness to check email/texts after hours during peak work cycles
  • Ability to travel to central offices when needed to support the execution and facilitation of meetings, training, and other in-person events.

Salary & Benefits

KIPP NYC offers a competitive salary ranging from $80,340 - $92,700. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band.

KIPP NYC offers a generous benefits package including medical, dental and vision coverages. Other benefits include retirement plan, flexible spending accounts, life insurance and supplemental benefits offerings.

KIPP Forward offers generous paid time off, with an organizational calendar that includes approximately 45 set days of paid vacation (equivalent to 9 work weeks) plus 9 flexible Paid Time Off (PTO) days.
