Job Summary
As a member of a team in the Office for Faculty Affairs at the Harvard John A. Paulson School of Engineering and Applied Sciences, the Academic Appointments Manager is responsible for managing appointment administration, payroll, and related services for faculty and research appointees for assigned areas within the School.
Position Description
- Independently plan and implement faculty affairs operations, including managing the appointment process for faculty, visiting faculty, and researchers.
- Reviews all researcher appointments and reappointments for adherence to FAS/SEAS policy. Advises faculty sponsors and administrators on and implements policy and processes.
- Monitors all salary and stipendee researcher hires for compliance with FAS/SEAS salary policies. Advises faculty sponsors on compensation levels in relation to FAS/SEAS policies.
- Reviews researcher compensation on a regular basis for compliance with state MEPA regulations. Advises faculty sponsors on compensation levels in relation to MEPA compliance requirements.
- Conducts formal compliance review to screen for denied and restricted international parties. Maintains detailed tracking document of new international appointees and
- Serves as a partner to the Harvard International Office (HIO) by implementing immigration regulations on visa applications for faculty and researchers, including timely extension of visa statuses or transition to new visa statuses.
- Advises faculty sponsors on visa-related issues for paid and unpaid research appointees. Works closely with research appointees and faculty sponsors on the timing of visa process steps and helps resolve related immigration issues.
- Notifies faculty and researchers of upcoming researcher appointment end dates and manages the reappointment or termination process.
- Verifies employment eligibility (I-9) of all new paid appointees and updates I-9 employment authorization when necessary for international researchers.
- Orients new researchers and faculty on benefits and payroll processes. Informs departing researchers and faculty of benefits and payroll processes and options.
- Serves as primary point of contact for all researcher medical and other leaves of absence. Provides guidance on the leave process and available options to researchers. Liaison to Lincoln Financial, the University’s third-party administrator for medical leaves.
- Maintains comprehensive records on faculty and research appointees and creates and maintains complex reports and metrics on faculty and researcher data. Responds to annual and stand-alone surveys.
- Participates in developing support and community-building initiatives to enhance the experience for postdoctoral appointees and implements related programs and activities in conjunction with SEAS offices and the FAS Office of Postdoctoral Affairs.
- Develops and maintains web-based information on academic appointment policies and procedures for the SEAS Office for Faculty Affairs.
Basic Qualifications
A minimum of three years of administrative experience.
Additional Qualifications and Skills
- Experience working in an academic environment with a diverse, international population and experience working with faculty strongly preferred.
- Bachelor’s degree preferred.

This position will be based in Allston, MA. Any remote work must be performed in a state in which Harvard is registered to do business (CT, MA, MD, ME, NH, NY, RI, and VT). Individual flexible and remote work options for this role will be discussed during the interview process.
