Role:
Process accounts payable and payroll for multiple companies.
Essential Functions & Responsibilities:
- Pick up and process daily mail. Process invoices on a daily basis-confirm invoice billing information and correct dollar totals with ordering personnel or purchase order, assign correct general ledger expense codes, and post invoices to SAGE100.
- Work closely with purchasing department in the processing of purchase orders. Post receipt of goods from packing slips and receipt of invoice daily.
- Print weekly check batches and process direct deposits biweekly for multiple companies, as well as demand checks upon request.
- Collects, reviews, and processes all data necessary to accurately assist with employee and physician payroll in accordance with established cycles and policies. Opportunity to transition into full responsibility after fully trained. .
- Research invoices or monthly statements; Work with vendors as necessary.
- Maintain current W-9 forms for all independent contractors. Prepare annual 1099-MISC forms.
- Audit expense, mileage, and employee reimbursements.
- Assist with training new hires and provide ongoing education to staff on payroll and timekeeping processes and regulations with the opportunity to transition into leading this responsibility.
- Accurately prepares reports for interested parties.
- Perform related work as required.
Performance Measures:
- Maintain strictest confidentiality in all financial matters of the Clinic.
- Demonstrate courtesy, professionalism, and responsiveness in all dealings with physicians and Clinic staff.
- Strive for accuracy in all accounting duties by paying attention to detail and checking work.
- Assist teammates with department workload as needed.
- Observe all Clinic policies and guidelines.
Knowledge & Skills:
- Experience: Up to six months of similar or related experience.
- Education: Equivalent to a high school education.
- Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/or outside the organization, generally regarding routine matters for purposes of giving or obtaining information which may require some discussion.
Physical Requirements:
- Requires sitting for long periods of time and working in an office environment.
- Some bending and stretching is required.
- Will be required to lift and carry boxes of forms ranging in weight from 10-20 lbs.
- Use of telephone is required.
- Manual dexterity required for use of calculator and computer keyboard.
