SCOPE:

Under the guidance of VP of Administration and Operations, this position manages all accounting functions and provides direction and guidance to all accounting staff. This position makes decisions on the Accounting Department’s plans, schedules, initiatives and day-to-day activities within the framework established by the senior management. This position also holds Accounts Payable and Receivable as well as banking responsibilities.

Essential Duties and Responsibilities

Essential duties and responsibilities include, but are not limited to, the following:

General Accounting

1. Understands, follows and supports Mizuho America’s internal Quality System policies and procedures and work instructions including, but not limited to, applicable external regulations and International Standards.

2. Closes the books monthly, quarterly, and annually in a timely manner. Prepares financial statements in required formats and provides them to Controller and President.

3. Prepares and compiles sales-related reports on a regular basis, and provides them to the MA management, Sales department and dealers.

4. Coordinates and facilitates financial audits with external auditors. Prepares financial data and documents for the audits. Implement practices as recommended by the auditor.

5. Files tax reports, including sales and use taxes, property tax, and submits tax compliance reports as requested.

6. Coordinate financial activities of multiple functions within organization, and collaborates with Sales, Marketing, Purchasing, and Customer Service departments.

7. Prepares and monitors the corporate budgets based on input from all functionalities.

  • Ensures that overall budget is realistic and in line with the management requirements
  • Monitor that the spending based on the budget
  • Forecasts future Accounting Departmental or group needs including human and material resources and capital expenditures (fixed asset budget including IT software and hardware requirements).

8. Manages and maintains the Accounting System (GP 2018).

9. Identifies human resource needs, including recruiting, training, developing and coaching team members and discuss the needs with the upper management.

Accounts Payable

  • Runs AP aging reports and processes check runs on a weekly basis. Mails payments and files payment documentation.
  • Stamps invoices and issues payable vouchers on a daily basis.
  • Maintains and updates vendor information in the ERP system. Obtains W-9 forms for new vendors and maintains AP files for 1099 reporting.
  • Answers AP related questions from vendors.
  • Reconciles AP module with the General Ledger.
  • Generates sales reports on a monthly basis and reviews activities for accuracy. Calculates commission expenses. Reconciles expenses with GL and proposes Journal entry, as necessary, for adjustment. Issues commission vouchers monthly, cut checks and mail payments with reports to sales representatives
  • Reconciles the company credit card statements with receipts and arrange payments.

MINIMUM QUALIFICATIONS

KNOWLEDGE, SKILLS AND ABILITIES

  • MS Office suite (Excel, Word, Access, PowerPoint) power user
  • Working knowledge of ERP (MS Great Plains preferred but not required)
  • Knowledge of all accounting cycles (AR, AP, GL, Inventory costing)
  • In-depth knowledge of US GAAP. Understanding of financial audit process and requirements
  • Knowledge of all facets of sales and use tax compliance issues
  • Excellent communication and interpersonal skills
  • Knowledge of income tax compliance is a plus

EDUCATION AND EXPERIENCE:

Minimum of a Bachelor’s degree in Accounting or Business Administration. Experience in medical field is preferred though not required. Experience at any big accounting firm and/or companies for at least a couple of years preferred.

Duties are performed while sitting at a desk utilizing standard office equipment such as computer, photocopiers and telephone. Required duties include operating a computer, reading, writing and using a telephone. Walking or standing within the office, stockroom/receiving areas of the warehouse is required to check or inspect inventory products; attend meetings, and for the operation of office equipment.

Visits to hospital operating rooms may expose the employee to infectious materials – prior to these visits, the employee must prove that he/she has met each hospitals’ immunization requirements.

Within the Warehouse/Production floor the employee may be exposed to sharp objects, small tools, various testing and other equipment, etc. The noise level in the work environment is usually moderate to high.
