Accounting Specialist (Part-time)

PCS International is seeking an Accounting Specialist (PT) to join our team! This position works with customers and vendors and performs data entry, billing reconciliation, and order tracking functions to help drive company success. It is a part-time, on-site position in our Inverness, IL office.

Responsibilities:

  • Receive all payment types into correct record - scan checks, enter into QuickBooks (within 2days), running to bank if needed
  • New Client Onboarding: welcome letter and process project tasks to set up client, follow up on accounting set-up
  • Client cancellations and offboarding
  • Review Open Balance Statements Monthly
  • Send Open Balance Inquiries and Late Fee invoices
  • Process Approved Orders with vendors - SIMPLE
  • Track order deliveries and update tickets through procurement stages
  • Receive all vendor bills (work to convert all to electronic delivery)
  • Onboard sub-contractors: spawn onboarding projects and make assignments/manage progress
  • Onboard vendors: spawn onboarding projects and make assignments/manage progress
  • Reconcile bills
  • Handle all vendor communications regarding price disputes, credit requests, returns, cancellations
  • Manage Inventory, both internal and external
  • Reconcile monthly recurring bills and update client agreements with changes
  • Create shipping labels, box up and ship items to clients, employees, vendors, etc.
  • Inventory Audit
  • Process Recurring Services Reconciliations/Consumption (Auditing) and Recurring Invoices
  • Record all activities via ticket system
  • Answer inbound telephone calls and emails
  • Perform other office tasks as required

Qualifications:

  • Minimum 1 year of related experience
  • Familiar with QuickBooks (preferred)
  • Above-average knowledge of MS Word and Excel
  • Accurate data entry skills
  • Customer service experience
  • Ability to prioritize and multi-task
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
